The Role:

The Generosity Operations Coordinator provides essential administrative support to ensure the seamless and efficient operation of daily activities within the Generosity team during the Enhanced Donor Engagement project. This position entails a variety of responsibilities, including the meticulous organization and management of digital documentation and systems, and supporting the accurate maintenance of constituent records. Additional key tasks include responding to incoming telephone and email inquiries with professionalism and a friendly demeanour, processing donor gifts, preparing donor materials and packages with attention to detail, and assisting with meeting organization by coordinating logistics, setting agendas, and preparing necessary documentation.

The ideal candidate will possess exceptional communication skills, demonstrating the ability to convey information clearly and effectively to various stakeholders. They will also exemplify professionalism and discretion, handling sensitive information responsibly. Additionally, this person should exhibit a proactive approach, anticipate the team's needs, and identify opportunities to enhance workflows and processes for greater efficiency and effectiveness.

Core Areas of Responsibility:

  • Review obituaries to identify Foundation donors and any notifications to direct gifts in memory of to The Winnipeg Foundation.
  • Ensure the profile and fund records of deceased donors are updated as timely as possible, and notify any donor managers who may have had a relationship with the deceased donor.
  • Coordinate and post memorial funds on the Foundation website promptly, collaborating with other Generosity, Finance, and Communications staff.
  • Manage the Generosity digital documentation filing (SharePoint), ensuring the most up-to-date documents and resources are organized and available for easy access, and outdated documents are archived.
  • Respond to donor phone calls and emails received through the Foundation’s main line and general Generosity inbox, providing timely, courteous support to address questions, resolve issues, and manage concerns
  • Process donor call-in donations, ensuring donor gift direction is fulfilled, and manage the security of credit card information.
  • Manage the supply inventory required by the Generosity team, including branded stationery, communications materials, etc
  • Coordinate the logistics of booking departmental and team meetings.
  • Provide administrative support to the Generosity team, including taking meeting notes and ensuring follow-up

Education and Experience

  • Certificate, degree or diploma related to office administration or other relevant education or experience.
  • 1-3 years’ experience working in an administrative role, ideally in a non-profit environment.
  • Background in customer service will be considered an asset.

The Recruitment Process
