About the role

About The Role Reporting to the Property Manager, you will work both independently and collaboratively to uphold high standards of service, professionalism, and communication. You'll play a key role in managing tenant relationships, assisting with budgeting and financial tasks, coordinating maintenance activities, and ensuring compliance with company policies and industry standards.

Key Responsibilities Client & Tenant Relations

  • Maintain strong relationships with tenants and clients by responding to inquiries promptly and professionally.
  • Attend meetings and provide timely updates to clients and management.
  • Anticipate tenant needs, resolve issues efficiently, and promote a "Best in Class" service experience.
  • Prepare and distribute tenant welcome packages and maintain up-to-date contact information.
  • Assist with organizing tenant events and updating marketing or website materials.

Financial & Administrative Support

  • Assist in preparing annual operating budgets and monitoring deadlines.
  • Manage budget packages, rental schedules, CAM billings, and year-end reconciliations.
  • Review accounts receivable, collect outstanding rents, and track real estate tax payments.
  • Prepare tenant chargeback letters, rent increase notices, and perform credit or title searches.
  • Review lease summaries and ensure accurate documentation.

Maintenance Coordination

  • Log, track, and follow up on service requests and maintenance work orders.
  • Obtain quotes, place service orders, and ensure contractor performance meets expectations.
  • Support sustainability and energy management initiatives.
  • Ensure all maintenance records are updated and tasks are completed in a timely manner.

Contractor & Supplier Management

  • Maintain up-to-date records of service provider contracts and compliance documentation.
  • Monitor performance and ensure all goods and services meet company standards.
  • Follow up on WorkSafe and regulatory compliance for all contractors and suppliers.

Leasing & Strata Administration

  • Prepare and manage agreements for parking, signage, and licensing as needed.
  • Support strata-related activities such as preparing AGM and council meeting agendas, minutes, and related documentation.

Qualifications

  • 2-3 years of office experience within property management, real estate, or a related service-based industry.
  • General knowledge of commercial property management.
  • Valid Provincial Real Estate License for Property Management or willingness to obtain (preferred).
  • Strong organizational, multitasking, and communication skills.
  • Professional, reliable, and able to work independently with minimal supervision.
  • Proficient in MS Office, Yardi, Spectra, SharePoint, or Angus software.
  • Criminal background and driver's abstract checks may be required.
