We are seeking a detail-oriented and organized Administrative Assistant to join our Financial Aid team. This role plays a key part in ensuring the smooth operation of financial processes, accurate recordkeeping, and compliance with institutional and regulatory standards.

About this Role

The Administrative Assistant will provide comprehensive administrative support to both the Finance and Financial Aid teams. This position involves maintaining accurate records, managing data entry, assisting with compliance processes, and supporting day-to-day as well as project-based financial administration. The ideal candidate is highly organized, detail-oriented, and thrives in a collaborative, fast-paced environment.

Key Responsibilities

  • Prepare, update, and maintain financial reports, including transaction logs, payment tracking, enrollment reports, and ad hoc reports.
  • Track and follow up on student accounts with overdue balances.
  • Perform accurate and timely data entry to support the Financial Aid team.
  • Assist with accounting adjustments and reconciliation processes.
  • Support financial audits by cross-verifying data between systems (e.g., reconciling SAS and AMP records).
  • Maintain organized, up-to-date electronic and paper filing systems for finance and financial aid documentation.
  • Manage documentation related to payment proof collection to ensure compliance with PTIRU standards.
  • Contribute to internal and external compliance efforts.
  • Perform other administrative tasks as required to support department operations.

Qualifications

  • Diploma (DCS/DEC) or equivalent education preferred.
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database/data entry systems.
  • Previous administrative or finance-related experience preferred.
  • Experience in a post-secondary or educational environment is an asset.
