About the role
The New Build Program Management division at Fleetway Inc. is responsible for planning, coordinating, and overseeing New Build Programs for the Royal Canadian Navy. Our team—made up of Project, Program, and Portfolio Managers, along with Contracts Specialists—works collaboratively to deliver engaging initiatives that meet the needs of our clients and stakeholders, while staying aligned with organizational goals. From concept to execution, we ensure projects and programs are strategically planned and efficiently delivered.
Reporting to the Contracts Manager, the Contracts Coordinator provides essential administrative and documentation support to the Contracts team. This role ensures the integrity and efficiency of contract management processes by preparing, reviewing, and organizing contract documentation, maintaining accurate records, and facilitating invoice and payment workflows. As a key point of contact for contract-related inquiries, the Contract Coordinator also contributes to the continuous improvement of contract management practices.

Provide administrative and documentation support to the Contracts team

Prepare, review, and organize contract documentation

Maintain accurate records and version control of contract files

Ensure the integrity and efficiency of contract management processes

Facilitate the flow of documentation to support invoice receipting and payment processing

Act as a key point of contact for contract-related inquiries

Contribute to the continuous improvement of contract management practices

University degree or college diploma in Business Administration or related discipline

2-4+ years of related work experience in contract administration, procurement, or project coordination

Strong organizational skills and attention to detail

Excellent written and verbal communication skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with document management systems is an asset

Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Familiarity with contract lifecycle management and basic procurement principles

Experience working in a project-based or government contracting environment is considered an asset

Professional certifications such as PMP , CAPM , or Contract Management credentials are preferred

Candidates must be eligible to obtain and maintain required security clearances
