SCOPE
Reporting directly to the Manager, Financial Planning and Budgets, with a dotted-line support relationship to the Executive Directors of University Communications Services (UCS) and University Advancement (UA), the incumbent provides financial expertise to specified Sectors on budget-related matters. They provide analysis of budget data, prepare specialized reports, and provide support to project teams as needed. They help ensure that information regarding the operating budget is shared in a clear and consistent manner.
PRIMARY RESPONSIBILITIES
• Analyze departmental operating budgets within the University.
• Monitor unit financial activity and ensure follow-up on documentation related to financial management.
• Provide analytical budget and projection support to sectors by preparing reports and summaries; inform departments of variances or unusual charges as directed.
• Maintain working relationships with departments that provide information for budget preparation and review.
• Organize financial data for reports and meeting materials to support Financial Services senior management and the Budget Review Working Group.
• Recommend improvements to existing budget processes and procedures.
• Assist the sector’s staff in generating reports in Unity.
• Support Executive Directors with the opening of new accounts or changes to existing accounts.
• Collaborate with the Financial Services Office Administrator in the strategic preparation, monitoring, and analysis of the Financial Services operating budget, ensuring alignment with institutional priorities and best financial practices.
• Analyze budget data in the financial system and process budget transfers as instructed; assist in keeping organizational structure details updated.
• Provide support to Executive Directors in reviewing and distributing departmental budgets, including quarterly projections.
• Assist in developing process control measures to improve service efficiency.
• Perform other duties as required by the Manager and Senior Director.
QUALIFICATIONS
• Bachelor’s degree in Accounting or Finance or a related field with two to four years of relevant experience in budget/finance.
• Advanced knowledge of accounting, budget and bookkeeping policies and procedures.
• Good knowledge (Level 4) of spoken and written English in order to communicate effectively with students, staff and faculty as well as to draft correspondence, documentation and reports; basic knowledge (Level 3) of spoken French.
• Advanced knowledge of Word and Excel; basic knowledge of PowerPoint.
• Knowledge of accounting policies and procedures.
• Good understanding of business process analysis principles.
• Good analytical, interpersonal and communication skills with the ability to deal sensitively with individuals.
• Good organizational skills in order to effectively organize work and set work priorities under time constraints.
• Demonstrated ability to make proposals and recommend and implement solutions for immediate and long-term goals.
• Ability to work under pressure and meet strict deadlines, meticulous attention to detail.
• Ability to multi-task and work on a variety of projects concurrently.
• Aptitude to work in a service-oriented environment.
• Ability to work both as member of a team and independently.
• Professional designation is an asset.
• Knowledge of SAP (University financial management system) is an asset.
• Knowledge of the higher education environment is an asset.
