Role Description The Guest Services Representative will report directly to the Assistant Property Manager and be responsible for the following:
Responsibilities
- Provide ‘First Class’ customer service effectively communicating with all customers, tenants, managers, co-workers and trades;
- Serve as brand “ambassador”, enthusiastically promoting the Centre, its stores, programs and services;
- Maintain a thorough knowledge of the Centre’s services; stores, store location and store merchandise; special events and promotional activities; etc.;
- Collaborate with Operations team on a daily basis to ensure proper coordination and communication with Security and Housekeeping staff.
- Administration and sale of Cloverdale Mall Gift Cards. Responsible for promoting Gift Card sales throughout the year. Reconciling Gift Card. Carrying out the day-to-day tasks relative to Cloverdale Mall’s gift card program including handling cash, credit and Interact payment; reconciling receipts, bank deposits; etc.;
- Professionally administer Guest Services programs such as kiddie cart and wheelchair/walker rentals and other related programs essential to the successful operation of the Guest Services Department, including completing/creating tracking and reporting charts;
- Assist with the promotion and execution of Marketing related promotions and events
- Responsible for all incoming calls to Cloverdale Mall. Direct all inquiries and requests to the proper department;
- Handle emergency response calls promptly and efficiently
- Awareness of all tenant merchandise, sales, general product knowledge, incoming and outgoing retailers;
- Record and balance daily and monthly Guest Services statistics;
- Maintain the inventory of Guest Services supplies;
- Complete tasks as provided by the APM, providing support to admin team and serving as backup to administrative assistant as required.
- Perform any related duties requested by management and other departments.
- Assist and participate in Marketing events throughout the year.
- Tenant gift card refresher
- Daily shift envelopes
Qualifications Education
- High school diploma or equivalent (some post-secondary education is a plus, but not required).
Experience
- Previous customer service or retail experience preferred, but entry-level candidates may be considered.
- Experience in hospitality, public interaction, or customer support is an asset.
Communication Skills
- Excellent verbal communication and active listening skills.
- Professional, friendly, and approachable demeanor.
Customer Service Orientation
- Ability to provide friendly, helpful, and efficient service.
- Patiently handle guest inquiries, complaints, or requests.
- Create positive experiences for all customers.
Technical & Practical Skills
- Basic computer skills (POS systems, email, internal databases).
- Cash handling and basic math skills for transactions.
- Familiarity with phones, radios, or internal communication tools is helpful.
Personal Traits
- Friendly, responsible, and punctual.
- Organized and able to multitask.
- Able to work well under pressure and independently.
- Team player with a collaborative attitude.
Availability & Work Conditions
- Flexible schedule including weekends, evenings, and holidays. 15-20 hours per week.
- Able to stand, walk, and be active for extended periods.
Additional Advantages
- Multilingual abilities, especially for a diverse Toronto customer base.
- Retail sales or POS experience.
- Conflict resolution and problem-solving skills.
