Position Summary
We are seeking a highly organized and detail-oriented Operations Administrator to provide administrative and coordination support to the Operations leadership team. This role plays a key part in ensuring the smooth day-to-day functioning of the department by managing documentation, coordinating meetings and events, and supporting special projects. The ideal candidate is proactive, confidential, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities

Process and support driver payroll and driver reimbursement requests, ensuring accuracy and timely submission.

Manage company invoicing, including preparing and submitting invoices and tracking payments as required.

Coordinate the ordering and tracking of office and operational supplies, ensuring the team has the necessary materials to support daily operations.

Provide administrative and coordination support for special projects and operational initiatives.

Maintain and organize confidential records and files, ensuring documents are stored accurately and securely.

Coordinate meetings including departmental meetings, general meetings, and other internal gatherings. Responsibilities could include booking and preparing boardrooms, scheduling participants, distributing invitations and materials, and coordinating meal or catering orders as required.

Plan and assist with regional events and support local charity and community initiatives within the region.

Record and distribute meeting minutes if required.

Arrange travel for associates including flights, hotel accommodations, and car rentals.

Prepare and submit expense reports on behalf of management in accordance with company policies. Qualifications

Postsecondary education in Business Administration or a related field preferred.

2+ years of administrative or operations support experience.

Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
