Purpose of role
This is a fixed-term position providing leave coverage.
The successful candidate will manage payroll and benefits administration across North America, ensuring continuity of service and compliance. This role is ideal for a payroll professional with strong payroll, tax and benefits and HR systems experience, who can quickly adapt and maintain high standards.
This role will be responsible for end to end processing of semi-monthly and off-cycle payrolls. In addition, they will coordinate benefits programs and act as the representative for benefits inquiries.
Key responsibilities
To perform this role successfully, an individual must be able to perform each key responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability needed. This includes the following; other duties may be assigned as needed within skill sets or if additional responsibilities are added.
Payroll Administration
- Process U.S. and Canadian semi-monthly and special payroll runs
- Produce post payroll reports and tax liability reports as required for finance team
- Manage year-end payroll process including all payroll adjustments, tax documents review and approval (i.e W2, T4, 1095C)
- Review quarterly US tax packets for variances and manage payments or refunds with finance team
- Manage Workday and payroll system integration
- Respond to payroll related queries and troubleshoot any issues
- Work with KPMG on cross-border pay matters
- Calculate and process Healthy SF payments
- Process quarterly EDD reporting and direct payments for related entities (True North)
- Process quarterly Employee Health Tax payments to BC tax authority
- Process Canadian Workers Compensation salary repors and payments
- Process and submit records of employment (ROE) to Service Canada Agency
- Ensure personnel data is accurate; record, research and resolve errors as needed
- Prepare and manage the HR and employee costs budget, reforecast and variance analysis
- Ad-hoc reporting
Benefits
- Manage and administer benefit programs, including annual renewals, records maintenance, terminations, and reporting
- Assist with new hire benefits introduction and enrollment
- Maintain benefit elections in Workday and with third party providers
- Serve as point of contact for all benefit inquiries
- Lead all aspects of the 401(k) and RRSP, including communications, enrollments, changes, terminations, and annual compliance processes including year-end closing, non-discrimination testing, audit support, and required filings
- Administer pension payments
- Manage full cycle pensioner relationship including pensioner requests, profile updates, enrollments and terminations, reporting, and preparation and delivery of annual statements and notices
- Ensure payroll and benefit compliance including Federal, State, & Local Ordinances
- Conduct regular audits of benefits, payroll and benefit provider information to ensure accuracy.
- Ad-hoc reporting
HR Systems - Workday
- Maintain and update Workday as needed, ensuring correct data and feeds to benefit providers and payroll are up to date
- Answer employee queries regarding Workday
- Act as the Workday subject matter expert for payroll and benefits
- Liaise with the London-based Workday team on updates and new processes relating to payroll and benefits
- Participate in Workday related projects as time permits
HR Administration and Other Responsibilities
- Support the annual salary review process
- Audit, reconcile, and process HR invoices
- Manage workers’ compensation and fiduciary liability renewals and audits
- Provide audit support to Finance department as it relates to HR
- Flexibility to provide wider support to the HR team as required
Preferred skills
Qualifications
- Related degree or equivalent experience
- Certification such as CPP a plus
Technical skills/knowledge
- Experience managing payroll and benefits (multinational experience preferred)
- Proficiency with payroll software systems (Workday preferred)
- Strong understanding of payroll laws and regulations (US/Canada/California experience preferred)
- Experience administering employee benefits programs (pension experience a plus)
- Excellent communication, organizational, and customer service skills
- Ability to work independently, manage deadlines, and adapt to competing priorities
- High attention to detail and process improvement mindset
- Strong excel and numerical skills
- Ability to maintain highest level of confidentiality

The expected base salary range for this role is $80,000 - 90,000. Actual offered salary will depend on experience, skills and qualifications. In addition to base pay, eligible employees participate in various incentive compensation plans, based on individual and business performance as well as a comprehensive range of health and wellness benefits.
