We provide Canadian dentists and dental practices with an array of non-clinical support and resources, including accounting, HR, marketing, as well as supply & equipment procurement.

We are recruiting for an experienced Recruitment Coordinator to join our growing HR team on a 6-month contract, with a strong possibility of extension. This role will be based at our Burnaby Head Office, an On-site position.

Job Overview: Reporting to the Team Lead, Recruitment, the Recruitment Coordinator performs a variety of recruiting and administrative activities. Including (but not limited to): assisting with monthly recruitment reports, supporting Recruitment Advisors with preparing and posting job ads to multiple platforms. Primarily, this role provides administrative support; however, you will be asked to participate in recruitment efforts and continuous improvement projects.

You will support recruitment operations with a sense of urgency and strong attention to detail, ensuring accuracy in all related work.

Responsibilities and Duties:

  • Partner with Recruitment Advisors, TA Managers, Team Leads, and key stakeholders to support and manage the recruitment process, including creating, posting, monitoring, and updating job ads as business needs change.
  • Schedule interviews, manage calendars, and coordinate hiring manager feedback.
  • Manage the background check process, ensuring SLA compliance, timely completion, and accuracy, including follow-up on missing documentation.
  • Track candidate status and maintain ATS data accuracy and updates.
  • Work collaboratively with HR Shared Services as required.
  • Ensure compliance with employment laws, regulations, and company policies.
  • Generate reports from trackers and other recruitment systems to provide accurate and timely data insights.
  • Support continuous improvement and best practices in recruitment operations.
  • Assist with social media content coordination and posting to support employer branding.
  • Coordinate swag orders and shipments for events and recruitment initiatives.
  • Support candidate sourcing efforts and assist advisors as needed.
  • Coordinate practicum placements in collaboration with the Campus Recruitment Manager.
  • Participate in ad hoc projects and other duties as assigned by your leader.

Education, Credentials, Qualifications:

  • 1–2 years of experience in recruitment or HR administration with exposure to full-cycle recruitment, ideally in healthcare, is an asset
  • Experience in office administration within a fast paced, time-sensitive environment
  • Undergraduate Degree/Diploma in Human Resources, Commerce or a related field is considered an asset

Required Skills & Abilities

  • Proficiency with applicant tracking systems, HRIS platforms, and other recruitment tools is an asset.
  • Strong organizational and time management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Exceptional attention to detail, accuracy, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to prepare reports, materials, and correspondence, including summaries and recommendations.
  • Ability to interpret, explain, and apply company policies and procedures.
  • Sound judgment, discretion, and tact when handling sensitive or confidential matters.
  • Strong interpersonal skills with the ability to build collaborative relationships.
  • Customer service orientation with a strong focus on the needs of hiring managers.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Coordinate with the marketing team on non-templated or custom job/event postings to ensure brand consistency.
  • Use Canva to create visually engaging talent attraction social media posts
  • Proven ability to work independently while contributing effectively to a team.
