Supply School Administrative Assistant

The Durham Catholic District School Board invites applications from qualified candidates interested in the following position:
POSITION: Supply Administrative Assistant
LOCATION: Various Work Locations
HOURS OF WORK: Monday to Friday, various hours depending on school needs
Rate of Pay: $24.78 per hour
START DATE: As soon as possible
Interested candidates are invited to apply through Apply to Education on or before September 1, 2025 at 4:00pm The Durham Catholic District School Board is located just east of Toronto and is renowned for providing comprehensive Catholic education to over 25,000 students in 38 elementary schools, 7 secondary schools, and 7 continuing and alternative education centers throughout Durham Region.
Position Summary This position is responsible for covering absences of permanent administrative assistants and clerks and maintaining the administrative system to support the activites of the school. The incument is accountable to the Principal of the school they are working at.
Duties And Responsibilities
- Performs daily attendance duties in accordance with Safe Arrival expectations.
- Assists with the registration of new students.
- Assists with data entry and generating reports from the Student Information Management System.
- Responds to telephone calls and routine inquiries.
- Welcomes visitors to the school and responds to inquiries.
- Assists elementary students with handing out ice where necessary.
- Assists with duties such as photocopying, filing, downloading and distributing class lists.
- Assists with sorting and distribution of newsletter, flyers and other correspondence to staff and students.
- Assists with preparing, processing and receipt of goods acquitted through the School budget.
- Assists with Pizza Days and School fundraising initiatives.
- Performs other related assignments as requested and deemed necessary by the Principal
Preferred Qualifications Education
- College diploma – preferably in Office Administration or Executive Secretary program.
Experience
- Two years’ experience in an Administrative Assistant capacity is essential.
- Previous work experience with children is considered an asset.
Other Qualifications
- Working knowledge of general accounting procedures and standard office equipment.
- Capable of prioritizing, multi-tasking in order to keep the office running smoothly and efficiently.
- Ability to work well under time constraints and meet deadlines with minimum supervision.
- Effectively utilize highly developed organization skills and sound judgment.
- Must project a professional image and enjoy working with children.
- Ability to handle and maintain confidential matters in a discretionary manner.
- Previous experience in an educational environment would be beneficial.
- Ability to work with minimum supervision, independently and as part of a team.
- Criminal Background Check with Vulnerable Sector suitable to the Board.
- Demonstrated commitment to Customer Service Excellence including good communication skills that are pleasant, tactful and effective.
- Experience in computer applications is essential with a high level of proficiency and accuracy in MS Office Suite, Excel and other applications.
