About the role

Groupe Robert Mississauga Terminal has an opening for a Gate-Keeper. The incumbent allows the company to carry out its yard access control activities to company, Owner-Operator Drivers, and to outside carriers. The incumbent is accountable to his immediate superior for providing the expected results and respecting the deadlines for the responsibilities for the position listed but nit limited to the below:

Responsibilities:

Access Control –

  • Allows yard access to our Company and Owner-Operator Drivers, and to outside carriers. This is done over the phone, using our surveillance system, and the Tripsheet and YardSmart programs. The Gatekeeper verifies the Driver’s information and directs them to a particular parking space/dock door using our YardSmart program, and directs them to the dispatch area or to the dock or warehouse office to submit their paperwork. The Gatekeeper takes down pertinent information as he/she interacts with the driver by telephone, and records it in our YardSmart program.
  • After regular business hours or when the receptionist is occupied, the Gatekeeper will answer the pedestrian telephone, granting or denying access to visitors. This maintains a secure work environment, by screening our visitors, before allowing entry.

Paperwork –

  • Collects paperwork from all Drivers, ensuring all necessary documents are submitted and completed properly. Paperwork collected includes Signed on BOL bills, Probills, Trip sheets, POD’s, pallet bills, etc. Once the Gatekeeper reviews the paperwork, it goes in the appropriate bin, to be collected by our Billing Department.
  • The Gatekeeper sorts the Drivers’ Daily Inspection Reports, and if any mechanical problems are noted, the reports are distributed to the garage’s mail slot, for follow up.
  • The Gatekeeper helps Dispatch by sorting and dispersing bills to the Drivers.

Customer Service –

  • Ensures a professional and courteous relationship with all Drivers. Ensures we provide the best customer service possible, (internally and externally). Always greets the Driver in a friendly manner. (By telephone) asks the Driver questions, to find out the purpose of their visit, and to find out information about the load they are bringing in, or picking up.
  • Support the dispatch team and drivers
  • Check availability of drivers, trucks and trailers etc.

Equipment –

  • The Gatekeeper looks in Trip sheet to see where our rented trailers are located within the GTA, and informs the Highway Dispatcher or Customer Service department. The Dispatcher or Customer Service department calls the customer to see if the trailer is being used for storage purposes, or sitting idle. (Once a response is received, the Dispatcher or Customer Service department can react accordingly. If the trailer is full, we will haul it away and make deliveries, or store the freight in our warehouse, and replace the trailer with an empty one. Or, if the trailer is sitting idle, we will retrieve it, and send it back out to be used by another customer. We must optimize our equipment usage.)
  • The Gatekeeper also tracks our trailers, to ensure sure they are billed accordingly, and records their whereabouts.
  • Tracks empty and loaded trailers using YardSmart, Trip sheet and our surveillance system, to ensure physical inventory is accurate and in the correct parking spaces within our yard. Identifies empty trailers for Dispatch and the Warehouse. Occasionally calls down to the dock looking for empty trailers as well.

Miscellaneous –

  • Hands out shower keys to Drivers, in exchange for their truck keys. Keeps track of shower keys and Driver’s keys at all time.
  • Hands out clean towels to the Drivers upon request, ensuring the Driver signs in and out.
  • When temporary agency staff comes to work at our facility, the Gatekeeper ensures the agency staff sign in and out, and are given a visitor’s pass while on Company property. The Gatekeeper also monitors whether the temp staff have been given our general policies and procedures, before they start their work here.
  • Pull the appropriate bills from the mail slots, and give them to the Drivers, to take to the customer as they make their deliveries.

Requirements:

  • Completed posted secondary education or equivalent
  • Computer proficient: MS Office(Excel & Outlook); ERP system: SAP asset
  • Reliable and detail oriented
  • Takes initiative and open to learning new things
  • Excellent work ethics.
