Job Summary

As a key member of the Centre for Asia-Pacific Initiatives, under the direction of the Director and the office manager, the administrative assistant plays an integral role in supporting all personnel at the Centre by providing administrative support to all centre faculty and staff, and support to visiting scholars. Responsibilities include organizing meetings and appointments, receiving and responding to inquiries, providing support for day-to-day budget management, scheduling and organizing logistics for events and conferences, making travel arrangements, preparing letters of invitation and providing support for special projects.

Job Requirements

Essential Skills:

  • Strong secretarial, administrative, and organizational skills;
  • Excellent attention to detail in all matters, particularly financial;
  • Proficiency with MS office including accurate word processing and document formatting, mail merge, spreadsheet, database and scheduling applications;
  • The ability to work independently and as a team member in a professional and conscientious manner in a small unit;
  • Strong interpersonal skills with the ability to communicate effectively and tactfully, both verbally and in writing with all levels of university administration, faculty, students, staff as well as international visiting scholars;
  • The ability to exercise initiative, good judgment and diplomacy regarding sensitive and confidential matters;
  • An excellent client service focus;
  • The ability to handle large volume of work and meet deadlines at certain times of the year and willingness to do a wide range of tasks in a flexible fashion.

Useful Skills

  • Knowledge of a second Asian language;
  • Familiarity with FAST accounting system and UVic administrative forms and procedures;
  • Familiarity with using social media platforms for business;
  • Experience with Adobe Creative Suite or Canva;
  • Experience with UVic’s website content management system
