Position Title
Administrative Assistant, Counselling Services
Position Summary
The Administrative Assistant is responsible for providing reception and administrative support for the provision of services offered through the Counselling office. The Administrative Assistant is the first point of contact for students and helps to provide a welcoming and safe place for them to come to get the help they are seeking. This position provides administrative support to the Associate Dean, Student Supports.
This position performs a wide variety of administrative support services, ranging from routine to complex, all of which contribute to the efficient and professional operation of Counselling Services. The incumbent must have the ability to interpret and make decisions in accordance with procedures and practices of the organization and must be flexible and demonstrate the ability to maintain confidentiality, diplomacy, and tact at all times.
Position Responsibilities
Reception
- Provides a welcoming and safe environment for individuals coming into Counselling Services.
- Responds to phone, email and in-person enquiries – providing accurate information about institutional-wide services and referring enquires as appropriate, based on a broad knowledge of the institution’s procedures, protocols, and personnel.
- Aids in scheduling and rescheduling appointments and meetings.
Administrative Support

Provides general administrative support to Counselling Services while maintaining confidentiality, accuracy, tact, and respect at all times.

Manages the calendar of the Associate Dean, Student Supports, prioritizing appointments and proactively resolving scheduling conflicts.

Provides assistance to new employees, practicum students and Associate Dean, Student Supports related to administrative matters and onboarding.

Maintains the day-to-day office area, operates, and maintains office equipment.

Performs administrative tasks to assist with the delivery of events, workshops, and presentations by Counselling Services.

Provide coverage for other administrative positions within the division.
Required Qualifications
-
Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent.

Over one up to two years of experience.
-
Excellent customer service skills in which the incumbent can respond to students in distress in a calm, courteous and helpful manner.
Preferred Qualifications
-
Previous relevant experience working within an office team ensuring confidentiality, integrity, diplomacy, professionalism, and tact at all times.
-
Strong communication and Interpersonal skills; verbal, written and listening skills as well as telephone etiquette.
-
Use of judgement in recognizing the need to involve the appropriate staff or faculty for urgent matters.
-
Extensive experience in calendar management using MS Outlook and other appropriate software programs.
-
Demonstrated experience in modern office practice and procedures.
-
Experience preparing meeting agendas, minutes, letters and memos accurately and error free.
-
Proficient knowledge of office equipment (ie phones, photocopier, and computers).
-
Maintain high standard of accuracy with a keen eye for detail in processing information.
-
Proficiency in Microsoft Office applications with experience with databases.
-
Computer applications such as Clockwork and Banner is considered an asset.

Strong organizational skills, the ability to prioritize workload and the ability to follow instructions.

Ability to adapt to rapidly changing priorities and fluctuations in work demands.

Ability to work independently and as a member of a team.

Benefits and Compensation Information
An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
