The Cloud Productivity Analyst plays a crucial role in supporting the productivity and content management systems for the Division. This position focuses on ensuring that productivity and content management systems are well administered and implements features to align with Division requirements. Key responsibilities include administering productivity and content management systems, implementing data retention and loss prevention strategies, and configuring security controls. The contributions are vital for maintaining secure, efficient, and user-friendly productivity and content management systems across the Division.

Duties & Responsibilities:

  • Manage and maintain the Productivity Environment (40%)

  • Oversee the administration, configuration, and maintenance of productivity services, including Microsoft 365, document digitization services, room booking services, etc.

  • Ensure system availability and performance by regularly monitoring and optimizing the environment.

  • Collaborate with IT and other departments to align productivity services with organizational needs.

2. User Support and Training (20%)

  • Create documentation for any process being used in our environment and update it annually.
  • Provide technical support to users, resolving issues related to productivity services.
  • Conduct training sessions and create instructional materials to help users effectively utilize productivity tools.
  • Assist users in troubleshooting and resolving incidents related to productivity services.
  • Gather user feedback to identify areas for improvement and enhance user experience.

3. Security and Compliance (20%)

  • Implement and manage security policies and compliance measures within the productivity environment.
  • Monitor and respond to security incidents, ensuring data protection and regulatory compliance.
  • Conduct regular security audits and risk assessments to identify vulnerabilities.
  • Develop and enforce best practices for data security and privacy.

4. System Monitoring and Troubleshooting (10%)

  • Monitor system performance and health, identifying and addressing issues proactively.
  • Troubleshoot and resolve technical problems to ensure optimal functionality and minimal downtime.
  • Utilize monitoring tools and dashboards to track system metrics and performance.
  • Document and report on system issues and resolutions to inform future improvements.

5. Stakeholder Collaboration (10%)

  • Collaborate with stakeholders across various departments to understand their needs and requirements for productivity services.
  • Communicate effectively with stakeholders to provide updates, gather feedback, and ensure alignment with organizational goals.
  • Work with stakeholders to develop and implement solutions that enhance productivity and collaboration.
  • Facilitate regular meetings and discussions with stakeholders to address concerns and identify opportunities for improvement.

Knowledge, Skills & Competencies

Knowledge:

Bachelor’s degree in information technology, Computer Science, or 5+ years of related experience

  • In-depth understanding of Productivity services, including, but not limited to, Exchange Online, SharePoint Online, Teams, and OneDrive for Business.
  • Knowledge of security policies, compliance measures, and data protection protocols.
  • Familiarity with system monitoring tools and troubleshooting techniques.
  • Understanding of integration and automation tools, such as Power Automate.
  • General knowledge of the Division’s operations and business, and general understanding of the Division’s mission and vision in a faith-based environment.
  • Knowledge of records management principles, the Protection of Privacy Act (POPA), and the Access to Information Act (ATIA).
  • Knowledge of workplace safety and awareness of Occupational Health and Safety regulations.
  • Knowledge and alignment with the Division's administrative procedures.

Skills:

  • Proficiency in administering and configuring Microsoft 365 and other productivity services.
  • Strong technical support and troubleshooting skills.
  • Ability to conduct user training and create instructional materials.
  • Excellent communication and collaboration skills.
  • Strong analytical and problem-solving abilities.
