Job Summary

Reporting directly to the CFO, the Payroll Specialist will support the Senior Payroll Administrator in multiple Provinces as well as providing financial assistance for various accounting functions in the department.

Required Qualifications & Experience

  • Minimum 2 years’ experience in a payroll position
  • Some form of payroll education or PCP certification
  • Experience working with ADP Workforce Now
  • Must be proficient in basic accounting functions
  • Must be proficient in Microsoft Excel
  • Excellent written and verbal communication skills
  • Shows tact and discretion when dealing with confidential information
  • Understand the need to meet deadlines and able to work well under pressure
  • Extremely organized and strong attention to detail

WORKING CONDITIONS 

  • 40 hours per week; occasional overtime required

Job Responsibilities

  • Prepare and process semi-monthly payroll for 250+ salaried and hourly employees in multi-province jurisdictions, including Quebec
  • Process new hires, terminations, salary rate changes, ROEs and other data relating to employee records
  • Process timesheets and attendance records, overtime, vacation, sick, leave of absence, etc.
  • Process manual cheques for terminations, missed payments and pay discrepancies
  • Prepare calculations and submissions of sensitive payments
  • Reconcile and remit payroll benefits, contributions, and government remittances on a timely basis
  • Prepare government reporting- monthly, quarterly and annually
  • Prepare and enter monthly payroll journal entries and payroll accruals
  • Prepare various GL account reconciliations
  • Prepare quarterly vacation accruals
  • Remain current with changes in employment standards, legislation and best practices, recommend changes as required and assist in implementation
  • Assist in the benefits program administration and process monthly invoices
  • Assist in the annual payroll budgeting process, audit, T4 processing
  • Assist the Accounting Department with full cycle accounting duties as required
  • Adhere to current and future company policies and standards to ensure a safe and agreeable working environment
  • Assist in other areas of the Finance department and support Senior Payroll Administrator with additional duties as required

  • Work in cooperation and communicate effectively with all levels of the staff and outside vendors
  • Handle any confrontational matters in a professional manner
  • Support and respond to SanMar Canada's customers’ needs and requests in a timely manner
  • Work effectively and efficiently with little supervision
  • Keep co-workers informed of activities that have implications to their department
  • Openly communicate any successes, concerns, or problems related to the job
