HR Administrative Coordinator – Commissary Kitchen

Summerhill Market is a boutique grocery store chain in Toronto that specializes in scratch-made prepared foods and on-trend ingredients. Our Commissary Kitchen, located near DVP & Lawrence, is the heart of our operations — producing the gourmet meals, baked goods, and catering that define the Summerhill Market brand.
We are seeking a highly organized and detail-oriented HR Administrative Coordinator to support our Director, Plant Manager, and Senior Management Team. This key role provides broad administrative and HR coordination support to a team of over 150 employees, ensuring smooth operations across logistics, maintenance, HR, production, finance, and customer service. The ideal candidate thrives in a fast-paced environment, demonstrates strong initiative, and enjoys taking ownership of day-to-day coordination and communication between departments.
Key Responsibilities
- Supporting the Director, Plant Manager, and senior leaders with administrative tasks, scheduling, correspondence, and meeting coordination
- Coordinating delivery logistics and managing a team of ~5 drivers, ensuring timely and accurate routing across multiple store locations
- Maintaining accurate employee files, attendance records, schedules, and HR documentation
- Assisting with the full employee lifecycle — recruitment, onboarding, training coordination, and offboarding documentation
- Assisting leadership with employee relations and disciplinary documentation, maintaining confidentiality and compliance
- Coordinating equipment, facility, and vehicle maintenance — scheduling repairs and liaising with vendors to ensure timely resolution
- Processing invoices, tracking expenses, and supporting general accounting documentation
- Handling internal inquiries, including employee requests, store communications, and catering-related customer service needs
- Liaising with Head Office departments (HR, Finance, IT, Marketing) to ensure consistent processes and clear communication
- Performing data entry, record-keeping, reporting, and other administrative duties as required
- Supporting special projects, holiday scheduling, and operational initiatives as needed
Requirements
- 3+ years’ experience in HR coordination, administration, or logistics support (experience in food production, grocery, or manufacturing an asset)
- Strong understanding of HR administration and record management
- Experience with logistics coordination, scheduling, or dispatch operations preferred
- Excellent organizational, communication, and multitasking skills
- Tech-savvy with proficiency in MS Office Suite; experience with ADP, ERP, or scheduling/dispatch software is an asset
- Detail-oriented, resourceful, and proactive with strong problem-solving abilities
- Comfortable working in a fast-paced environment and managing competing priorities
- Ability to handle confidential information with discretion and professionalism
- Post-secondary education in Business, HR, or Administration preferred
- Flexibility to work extended hours during peak seasons or special projects
