Job Summary The role is responsible for supporting the booking and coordination of indoor events at Living Arts Centre, Paramount Fine Foods Centre, Meadowvale Theatre and Small Arms Inspection Building. This position requires superior customer service, strong attention to detail, organization, and administrative support. This role supports the indoor bookings team to achieve client satisfaction and operational excellence.

Duties and Responsibilities

  • Acts as the first point of contact for all indoor venues, addressing event inquiries through phone, e-mail, and site visits.
  • Provides essential administrative support encompassing ticket revenue transfers, payment coordination and processing invoices, creation of floor plans, and phone reception.
  • Engages in regular correspondence with potential rental clients, members of the public, and other departments Ensures consistency in event documents like estimate and settlement templates, site. plans, inquiry forms, and contact lists.
  • Is responsible for the bi-weekly staff payroll input for the Event Development team.
  • Develops and maintains event-tracking spreadsheets.
  • Cultivates and fosters relationships with essential internal stakeholders, including CSC, CMS Rec Accounts, Venue Supervisors, Ops, Custodial, etc.
  • Delivers on-site and in-office event coordination support as necessary.
  • Develop and maintain event knowledge base for 311.
  • Performs other duties as required.

Skills And Qualifications

  • 1-2 years experience in event coordination – both in-office planning and on-site execution.
  • Post-secondary education in event planning, public relations, or arts administration.
  • Strong customer service skills with a sense of urgency and sensitivity in correspondence.
  • Excellent time management, organizational, and interpersonal skills in a fast-paced, team-oriented environment
  • Ability to prioritize and attention to detail.
  • Proficiency in multitasking with a solution-oriented mindset and flexibility.
  • Excellent written and oral communication skills.
  • Technical competence in Word, Excel, PowerPoint and Outlook.
  • Experience in ActiveNet and experience with event management software is an asset.
  • Proactive approach with the ability to work independently and in a team.
  • CPR and First Aid training considered an asset.
  • Must be available to work occasional evenings, weekends, statutory holidays, and shifts up to 13 hours during on-site events.

Hourly Rate/Salary: $53,354.00 - $71,139.00
