Job Description:

Christmas Coordinator is responsible for planning, organizing, and overseeing the Salvation Army Fort St. John, with Christmas Kettle and Christmas Hamper Campaigns. The successful candidate is responsible for oversight of several Christmas Kettle locations in Fort St. John and organizing the Christmas Food and Toy Hamper program. They organize, direct, and supervise the work performed by Christmas Workers and Volunteers.

KEY RESPONSIBILITIES:

KETTLE CAMPAIGN

  • Responsible for the operations of the Christmas Kettle campaign.
  • Promote, coordinate, and oversee the activities of Christmas Kettle Campaign Worker staff and/or volunteers.
  • Maintain accurate records of worker’s/volunteer’s information.
  • Orientation and performance management of kettle worker staff and/or volunteers.
  • Coordinate the schedule for kettle staff and/or volunteers and respond to emergency absences, etc.
  • Coordinate the delivery and pick-up of kettles to/from sites daily, ensuring the security of donations.
  • Coordinate replacement teams for standalone tip-taps.
  • Deliver and pick-up kettles.
  • Host at a kettle as required ensuring necessary coverage for breaks, etc.
  • Ensure that kettle locations have adequate supplies.
  • Record statistical data and prepare weekly time sheets as required.
  • Ensure all Kettle donations are delivered to secure location at shift completion.
  • Provide oversight and ensure accuracy in counting kettle income.
  • Communicate regularly with supervisor regarding day-to-day campaign challenges and operations
  • Visit locations during shift changes and intermittently.
  • Ensure timesheets and mileage reports are submitted accurately and timely (weekly basis).
  • Respond to questions/queries from potential donors regarding SA ministries and programs.
  • In conjunction with supervisor, manage campaign related social media.
  • In conjunction with supervisor, ensure information relating to available shifts and fund-raising updates are communicated via volunteer management system daily.
  • Assist in the coordination of the Christmas Kettle Campaign launch.
  • Will participate in recruitment and training of kettle worker staff and/or volunteers, including connecting with schools, local businesses and community groups.
  • Foster and maintain positive working relationships with kettle sites.
  • Organize retrieval of all equipment/supplies from various kettle locations.
  • Arrange volunteer/kettle location appreciation certificates for distribution.
  • Ensure all necessary tip-tap equipment is maintained and returned per tip-tap instructions.
  • Targets, reaches out to, and develops relationships with new potential donors (individuals, businesses, organizations, etc) seeking to gain financial support for the Salvation Amy Fort St. John.
  • Solicits cash and in-kind sponsorships for Christmas events.
  • Updates the Salvation Army Fort St. John website and other media platforms
  • May organize and promote all other Salvation Army Fort St. John fundraising events and fundraising focused project

HAMPER PROGRAM

  • Oversee the operation of Christmas Food and Toy Hamper program.
  • Assist with the set-up, take-down and organization of Food and Toy Hamper distribution days.
  • Organize toy and food drives for Christmas Hamper program.
  • Receive and process donations of toys for distribution and provide direction and assistance with packing and sorting toy donations.
  • Assists with picking up toy and other donations as needed.
  • Assist with recording statistical data in a clear, organized and accurate manner using the Link2Feed Client Management System.
  • Assists with other minister unit Christmas functions.
  • Perform other positions related duties as required.

CRITICAL RELATIONSHIP MANAGEMENT

  • Will communicate with the Salvation Army staff, volunteers, donors and clients
  • The incumbent will communicate with community members and community groups/organizations and other external agencies.
  • Liaises with funders, community agencies, families.

MANAGERIAL/TECHNICAL LEADERSHIP RESPONSIBILITY:

  • Reports directly to : Community Family Services Manager or Operations Manager
  • Direct reports for this position: Christmas Volunteers

FINANCIAL AND MATERIALS MANAGEMENT:

Responsible, with manager oversight, for the secure handling, reporting, and disbursement of kettle funds and related expenses.

WORKING CONDITIONS:

  • This is a temporary position based on 40 hours per week.
  • Shifts may include days, afternoons, evenings, weekend shifts, and split shifts, Monday through Saturday. Applicable shifts include a ½ hour unpaid meal break.
  • Flexibility in scheduling is required, as the hours may increase as per operational requirements.
  • Work environment is in the Food Bank warehouse and stores/malls.
  • Standing for long periods will be required and exposure to cold weather.
  • Local travel is associated with this position.

  • May be exposed to the risk of minor harm, injury or illnesses due to:
    • Physical attacks by others (i.e. being attached by residents)
    • Exposure to infectious diseases (from general public)

EDUCATION AND EXPERIENCE QUALIFICATIONS:

Education, Qualifications and Certifications:

  • Completion of high school
  • A First Aid Certificate is an asset

Experience and Skilled Knowledge Requirements

  • Minimum 2-years experience in fundraising campaigns, volunteer coordination (Christmas Kettle and Hamper experience considered an asset).
  • Money handling experience is an asset
  • Experience in office administration
  • Valid Driver’s License, personal vehicle and insurance, current copy of driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

  • Ability to lift/move 9 to 12 kgs (20 – 25 lbs.)

  • Exhibit good listening skills, have strong oral/written communication skills.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Honest, courteous, and punctual; prepared to act in the best interest of employer.
  • Represent the organization in a positive, professional, and engaging manner.
  • Attentive listening skills for supervision, coaching, and conflict resolution.
  • Ability to maintain strict confidentiality in the handling of donor, volunteer, and organizational information.
  • Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Compensation:

The target hiring range for this position is $20.11 to $25.14 with a maximum of $30.17.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
