Position Purpose
Provides general clerical and administrative support to staff within the Community Services Department, including tasks such as data entry, filing, document preparation, and responding to inquiries. For full details, please see attached job description.
Minimum Qualifications

Two year college diploma in a relevant discipline.

Minimum of two years of administrative or clerical experience, preferably in a public sector office setting.

Good organizational and time management skills with attention to detail.

Strong customer service skills and clear communication abilities (written, verbal, and listening).

Capable of handling multiple tasks and staying focused in a busy environment.

Position Summary
Provides general clerical and administrative support to staff within the Community Services Department, including tasks such as data entry, filing, document preparation, and responding to inquiries.
Responsibilities
- Updates and tracks work orders with direction from supervisors.
- Enters and updates work order details in corporate software for repairs and maintenance.
- Provides detailed departmental information to Customer Service Representatives regarding park maintenance, facilities, recreation programs, and municipal law enforcement.
- Checks and processes invoices by matching them with contracts and purchase orders.
- Prepares purchase requisitions and follows up as needed.
- Maintains inventory of office supplies and initiates purchases when necessary.
- Maintains electronic and paper filing systems in compliance with corporate procedures and retention policies.
- Writes emails, memos, reports, meeting notes, and other documents as needed.
- Completes basic math calculations when required.
- Answers phones and responds to inquiries from the public, staff, and contractors.
- Liaises with internal and external stakeholders to support departmental operations.
- Provides relief coverage for other clerical and secretarial staff during absences.
- Participates in the Town's Health and Safety Program and adheres to all relevant regulations and safe work practices.

Minimum Qualifications
Education and Knowledge
- Two year college diploma in a relevant discipline.
- Minimum of two years of administrative or clerical experience, preferably in a public sector office setting.
- Comfortable using computers and common software programs, including Microsoft Excel, Word, Outlook, Access, financial software, internet browsers, and database systems.
- Able to organize electronic files and use voicemail systems effectively.
- Strong customer service skills and clear communication abilities (written, verbal, and listening).
- Good organizational and time management skills with attention to detail.
- Willing to suggest ideas for improving how tasks are done.
- Able to attend occasional evening meetings.
- Capable of handling multiple tasks and staying focused in a busy environment.
- Able to complete tasks independently once trained.
- Willing to learn and upgrade skills as needed.
- Up to one year of on-the-job training and adjustment period.
