About the role

At Osgoode Properties we are continually investing in our people and communities to provide our residents with the greatest rental home value available. We currently have an opening for full-time Leasing Associate - Kingston.

Position Overview:

Reporting to the Leasing Manager, the Leasing Associate works at the buildings within the Kingston portfolio. The individual is responsible to respond to leasing inquiries from a diverse demographic and match prospective resident needs to available vacancy, by conducting showings and aiding them in coming to a decision on renting with Osgoode Properties.

Requirements for success:

  • High school equivalent
  • 2 to 3 years of experience in property management, sales, or customer service
  • Ability to put all prospective residents at ease when showing units, answer all questions effectively and provide all required information
  • Ability to overcome obstacles as presented by prospective residents
  • Keeps current knowledge on practices in the market and other buildings in the area
  • Strong communication and written skills in English (French is an asset)
  • General knowledge of computer software systems, including Yardi and Microsoft Office Suite (Outlook, Word)
  • Ability to work independently and in a team environment
  • Good conflict-resolution skills, ability to deal patiently, tactfully, and effectively with emotionally charged situations and a client base with diverse cultural, educational, and socio-economic backgrounds
  • Displays a positive work attitude and is enthusiastic
  • Good organizational skills

Desirable skills:

  • Completion of some post-secondary courses in business administration or office systems and procedures

Your new role and responsibilities:

As a proactive individual, responds to all in-person requests for rental information, provides exceptional service and operational support for the residential buildings; specifically:

  • Complete confirmation calls and issue notices to of entry to existing residents
  • Inspect all vacant suites and prepare model suites to ensure show-ready condition
  • Conduct suite viewings with prospective residents
  • Create Yardi guest cards
  • Conduct follow-up calls to prospective residents after viewings
  • Secure high volume of new residents using proper closing techniques or skills
  • Review and complete applications with prospective residents
  • Assist Building Manager in completing the application review process
  • Manage appointments and Yardi waitlist
  • Understand and adhere to all criteria outlined in the Certified Rental Building program (CRB) and the Crime Free Program (CFMHP), where applicable
  • Prepare lease documentation for approval by the Building Manager
  • Secure resident’s rental insurance
  • Confirm resident has transferred utility accounts, where applicable
  • Prepare resident move-in packages
  • Complete Rent Café onboarding
  • Complete competitive landscape analysis with monthly market survey reports and competitive shops semi-annually, or as needed
  • Assist with Resident Events
  • Engage residents in online review solicitation
  • Assist in creating marketing content including but not limited to videos of suites and property
  • Complete customer service calls including scheduled check-in during the first year of residency and annual customer care calls
  • Respond timely to all telephone and email enquiries
  • Handle all inquiries, feedback, complaints or concerns professionally and courteously

Working Conditions:

  • Evening and weekend work required
