Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.

Reporting to the Strategic Performance and Analysis Officer, the Business Support Coordinator position supports the daily operations of the Master's and Executive Education office. This role will provide a wide range of administrative and financial support to students, faculty, staff, and the public on business needs and workflows. It includes a wide variety of diverse tasks across different areas, requiring the ability to independently seek out work, prioritize responsibilities and manage time effectively.

Major responsibilities include:

  • Serves as the initial point of contact, responds to telephone, in-person, and email inquires and redirects where necessary.
  • Initiates, coordinates, and processes day-to-day financial transactions.
  • Provides guidance and assists users with university policies and procedures, and escalates issues to appropriate authorities.
  • Provides business and administrative support to ensure the effectiveness of workflow processes and daily operation efficiency.
  • Champions service excellence and creates a positive experience for university staff through every interaction.

Financial Support

  • Prepare and/or initiate financial transactions, including invoices, purchase requisitions, purchase orders, JVs, and other transaction documents related to the accounts for the Master's and Executive Education Office.
  • Provides guidance and assists users with the initiation of routine financial transactions.
  • Maintain the program's credit card financial activities (collect receipts, initiate payments), and conduct monthly financial reconciliations.
  • Prepare documentation for accounts receivable and payroll.
  • Prepare and process travel and expense claims, including claims for students, faculty members, instructors, both internal and external.
  • Process program entrance awards, bursaries, and scholarships.
  • Initiates appointments of Teaching Assistants and Graduate Research Assistants as directed.
  • Identifies, troubleshoots, and resolves transactional issues. Corrects errors.
  • Resolves payment/disbursement problems for students, staff, and faculty with the Performance & Data Analyst and Finance Partner as appropriate.
  • Provides the Strategic Performance and Analysis Officer with updates and reports on financial balances/status.
  • Review individual transactions and supporting documentation for accuracy, compliance with policy, and appropriate authorizations.
  • Contributes to the development, revision,, and implementation of processes improvement and procedures to enhance operational effectiveness and efficiency.

Administrative Support

  • Acts as the unit's first point of contact. Greets visitors to the area and routes them to the appropriate area.

  • Answers phones for the area. Redirects calls or takes messages for the appropriate staff member.

  • Acts as a resource to faculties, students, staff, and the public regarding office logistics, financial policies, and payment procedures.

  • Provides administrative support for standing and special meetings. Coordinates documents and agendas. Anticipates and prepares supporting materials. Distributes meeting minutes.

  • Coordinates travel arrangements for area staff.

  • Provides business support to the unit as required on projects and day-to-day matters.

  • Creates, maintains, and improves spreadsheets and databases, and prepares standard and ad-hoc reports for the area as required.

  • Responds to questions in person, on the phone, by email/other electronic means or by other written correspondence.

  • Assists with office relocations and staff moves. This includes assisting with planning, layout, and setup as required.

  • Provides administrative orientation for new staff, contributing to a warm and welcoming environment.

  • Participates in university-offered financial training and professional development opportunities to improve financial knowledge and identify innovative opportunities.

  • Flexibility is required to take on additional tasks and responsibilities that may arise from unforeseen events during the evaluation period. This adaptability enables the office to innovate, respond effectively to emerging challenges, and maintain a high standard of service for both students and clients.

  • Post-secondary diploma is required, preferably in accounting, supplemented with administrative experience.

  • 2+ years of related financial or administrative experience.

  • Excellent verbal, written and interpersonal communication skills with superior attention to detail and superior level of accuracy.

  • Ability to work under pressure, to be effective in prioritizing and to make independent decisions.

  • Excellent time management skills with the proven ability to manage and prioritize multiple tasks and competing deadlines in a demanding, fast-past environment while maintaining superior accuracy.

  • Ability to work in a team environment and independently.

  • Knowledge of University of Alberta policies and procedures is an asset.

  • Computer proficiency using MS Office applications, Google platforms, and internet search engines is required; experience with PeopleSoft applications is an asset.
