SALARY LEVEL: PRO 1 $52,700 - $60,000
LANGUAGES REQUIRED: Complete Fluency in both English and French is required.

BACKGROUND
WUSC is a Canadian global development organization working to catalyze positive education and economic outcomes for young people. We bring together and collaborate with a diverse network of partners (including students, volunteers, schools, governments, not-for-profits, and businesses) who share this mission. Together, we influence systems change, and foster inclusive, youth-centered solutions that enable young people to thrive and belong. We work with all young people, with a focus on women and displaced populations. WUSC currently operates in 28 countries across Africa, Asia, the Middle East, and Latin America and the Caribbean, as well as in Canada, with an annual budget of approximately CAD $65 million. Our global team includes over 100 staff in Canada and more than 250 staff internationally, implementing a diverse portfolio of development projects in collaboration with numerous multilateral and bilateral donors, and philanthropic foundations.
Amongst other global programs, WUSC manages the world’s-longest standing refugee education pathway, known as the Student Refugee Program. Over 45+ years, nearly 3000 students have been resettled to Canada to begin their studies. Each year, WUSC works with a network of 100+ sponsoring post-secondary institutions, and 1200+ volunteers to provide peer-to-peer support to arriving refugee students, fund the costs of sponsorship, and to advocate for institutional and policy changes that support refugee inclusion both on and off campus.
Responsibilities Under the supervision of the Senior Manager and working closely with the Coordinator, SRP Operations and Manager, SRP Network, the Program Officer, SRP Operations and Data Management will be responsible for supporting the operational processes related to immigration, arrivals and placement process. This position will also be responsible for coordinating the program data management infrastructure that is used by the SRP Global Team (i.e. Salesforce) to manage program records and processes to maintain compliance and quality assurance standards, and continuous program improvements.
SRP Operations
- Support the administrative and technology aspects of the Canadian immigration process for SRP students and sponsorship groups.
- Support the administration of the SRP academic matching process, including folder set-up, spreadsheet management and mail-merging for mass sendouts.
- Support the student arrivals process, including recording Notice of Arrival Transmissions (NATs), tracking delays and supporting communications with sponsorship groups and airport Service Provider Organizations (SPOs) as / when needed.
- Support the tracking of WUSC’s annual SAH allocation to ensure accuracy.
- Provide support to the SRP student selection and preparation processes, including technical support relating to the online application form and student preparation webinars.
- Support other operational processes as required
Data and Knowledge Management
- Maintain and update electronic program files and records, including Salesforce maintenance, and ensuring accuracy and relevance of the SRP Google Drive folders and archived materials.
- Support the implementation of relevant data collection tools and database modules to effectively collect data and monitor program outcomes.
- Respond to and facilitate requests for SRP data.
- Prepare and contribute to reports as required.
- Develop appropriate measures and ensure the integrity and safety of data across platforms.
- Support the team in implementing good practices in data management and data quality assurance.
Other
- Support the team to identify, develop, and implement improvements to systems, processes, and tools to enhance the data collection, information management and knowledge sharing of the SRP.
- Participate in WUSC MERL Community of Practice.
- Support annual processes such as the WUSC Annual Report, and Global Results and Reach Framework tracking system.
- Other related duties.
Qualifications And Competencies Education
- Diploma, Bachelor’s degree in a related field (administration, social sciences, marketing, international development, public administration) or an equivalent combination of experience and education in a relevant area
Experience & Competencies
- Minimum 2 years of experience in logistics, technology, information systems, knowledge management
- Experience working for a non-profit preferred
- Experience as Local Committee member, lived experience as a refugee is considered a strong asset
- Demonstrated commitment to the mission and values of WUSC
- Experience with the development of data collection methods and tools (forms, formats, questionnaires) as well as systems for the entry, analysis and storage of data
- Strong computer skills (e.g. Excel, Google Suite, Salesforce) essential
- Effective interpersonal and influencing skills, including the ability to build relationships, network, communicate effectively in a cross-cultural context are essential
- Strong personal initiative, resourcefulness and capacity to work individually and as a team
- Superior communication skills (oral and written)
- Ability to multitask, adapt and problem solve
- Demonstrated diplomacy and patience
- Strong attention to detail
- Must be motivated, creative, hardworking, optimistic, and a team player
- Must be available for occasional weekend and evening work. Time in lieu will be provided
- Curious, enthusiastic and willing to innovate and adapt
