YOUR ROLE
We are currently looking for a Intake Coordinator to join our team, working hybrid based in our offices in Surrey, BC. The Intake Coordinator works collaboratively within the team to provide administrative support to both Ontario and British Columbia teams. This role maintains and electronically files all documentation received and updates all required data fields in proprietary case management systems. They are responsible for triaging cases and assigning them to the appropriate team member.
OUTCOMES
Within the first 90 Days
- Demonstrates exceptional customer service skills and builds/maintains excellent relationships with clients and various stakeholders.
- Enters information into DMS system with >90% accuracy.
- Audits should show that documentation has been appropriately managed >95% of the time.
- Responds to all emails and voicemails within 24 hours.
- Successfully follows all internal procedures for documentation management. Where scenarios fall outside the norm, consults with a Senior Intake Coordinator, Team Lead, Supervisor, or other senior staff person to determine any relevant modifications to standard process.
- Works collaboratively with team members to ensure that Outlook mailboxes are managed appropriately with the expectation that they will be cleared by end of day (dependent on volume per day)
- Demonstrates exceptional attention to detail. Ensures >95% level of accuracy with respect to carrier application submissions.
YOUR IMPACT
- You will monitor all sources of new documentation including mail, faxes, and emails; ensures documents are inputted and triaged in accordance with internal service standard
- You will set-up new claim files in appropriate claims management system and assigns to member of the team.
- You will review policy information to confirm insurance coverage for each new client file created.
- You will review information received and identifies inaccuracies or incompleteness; relays this information to the appropriate team member for follow-up
- You will ensure that guidelines are followed, so that all relevant file information from documents received are accurately charted and entered into the appropriate fields in the proprietary disability management system.
- You will utilize internal naming conventions to appropriately name and file documentation as well as attaching the documentation to the appropriate file
- You will communicate in a professional manner with all outside contacts, ensuring that only allowable information is released to recognized recipients by adhering to the requirements of the company’s Privacy Policy and the Confidentiality Policy.
- You will assist with providing coverage for incoming calls and other team members as needed.
- You will respond to all emails and voicemails received
- Any further administrative duties as deemed required by the leadership team.
- Attends internal meetings as required.
THIS IS YOU
- 1-2 years administrative experience in health, insurance, disability related field or new graduate.
- Competency in Microsoft Outlook, Word, and Excel
THIS IS NICE
- Administrative Post-Secondary Diploma or Degree

YOUR COMPENSATION
At the time of this posting, the estimated pay range for this position is $42,000-$45,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the base pay and does not encompass our comprehensive total rewards, benefits, and potential bonuses that we proudly offer.
