About the role
Air Unlimited Inc. is seeking a highly organized and self-motivated Administrative Assistant to join our team. The successful candidate will have strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
This role plays a key part in supporting daily operations across service, parts, and administration while contributing to the company’s professional image and customer satisfaction.
Duties and Responsibilities:
- Answer and assess incoming service calls, gather required information, and accurately communicate service details to technicians
- Ensure service work orders are properly created, updated, and completed in a timely manner
- Maintain the Preventative Maintenance (PM) program, including scheduling, tracking, and preparing PM quotations
- Provide administrative support to the Parts Department, including assisting with sales documentation, quote logs, order tracking, and purchasing coordination
- Work closely with the Service Department following the signing of Preventative Maintenance contracts
- Assist with shipping and receiving documentation and coordination as required
- Prepare invoices, process paperwork, and support basic accounting functions
- Maintain accurate records in company systems and databases
- Assist with filing, document control, and general office organization
- Support internal reporting and data entry as required
- Greet customers and provide professional front-office support when needed
- Perform other related administrative duties as assigned
Skills and Qualifications:
- Strong organizational and time management skills
- Detail-oriented with the ability to work under pressure and meet deadlines
- Effective verbal and written communication skills
- Strong interpersonal and customer service skills
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Experience with Sage Business Vision or other accounting software is considered an asset
- Ability to multitask and support multiple departments effectively
