We are looking for a QMS Specialist to join our team. They will play a key role in supporting and advancing IBG’s BRCGS certification and overall Quality Management System. This position works collaboratively with Quality, Operations, Product Development, Sales, and Supply Chain to develop, implement, and maintain systems that meet BRCGS, HACCP, and QMS requirements. Responsibilities include managing documentation, following up on gap analysis activities, conducting internal audits, and preparing the organization for BRCGS and other QMS-related audits. This role ensures IBG’s products, processes, and systems remain audit ready for both initial certification and ongoing surveillance
This is a temporary full time position until Dec 31st, 2026.
Responsibilities:
Core QMS & BRCG ownership: 30%
- Establish, implement and maintain SOPs, forms and documents related to BRCG or QMS processes to ensure all technical, regulatory and certification related details are defined and can be verified in production.
- Ensure the QMS & BRCG remain compliant with external standards and regulatory requirements, certification schemes and customer requirements.
Documentation Control and Change management: 10%
- Administer the electronic QMS/Documentation control platform
- Control creation, review, approval, issuance and obsolescence of documents and records, maintain archives and retention
- Manage change control for QMS documents and when needed produce/process documentation, ensuring impact assessment and proper approvals
Audits, CAPA and compliance monitoring: 20%
- Plan, schedule and coordinate internal audit programs and support/host external audits, customer and regulatory.
- Track nonconformities, manage corrective and preventative actions (CAPA) through to closure and verify effectiveness
Training and user support: 20%
- Provide QMS training and onboarding
- Coordinate training records in the QMS
- Act as internal subject matter expert and first-line support for QMS & BRCG questions and issues.
Performance, reporting and improvement: 20%
- Define and track key quality. BRCG and QMS performance indicators
- Prepare inputs and reports for management on BRCG and QMS performance, opportunities and improvement plans.
Assist in BRCGS implementation activities including:
- Conduct or support gap analyses against BRCGS requirements.
- Support customer complaint investigations and follow up on corrective and preventive actions, ensuring alignment with BRCGS and QMS expectations.
Qualifications:
Education
- B.Sc. in Chemistry, Food Science, Microbiology, or related field, or relevant College Diploma.
Experience, Knowledge, Skills
- 2–3 years of experience in Quality, Food Safety or Regulatory in food, cosmetics, consumer goods or related manufacturing or distribution environment.
- Hands on experience with BRCGS (or other GFSI recognized standard) implementation or maintenance, including documentation, internal audits and closure of findings.
- Practical experience working with HACCP plans (development, verification or maintenance).
- Experience working within a formal Quality Management System (e.g., ISO based) and ability to link it to BRCGS requirements.
- Knowledge of Canadian and USA regulations for cosmetics, consumer goods and OTC/drug products; understanding of Canadian and US labeling requirements.
- Experience working with 3rdparty testing laboratories and interpreting test reports.
- Strong documentation, recordkeeping and data entry skills within a QMS.
- Good communication, problem solving and follow up skills; ability to work effectively in cross functional team settings.
