Operations & Marketing Associate Location: This posting is for an existing vacancy in Wellington-Altus’ Toronto office.

The opportunity: This role supports the long-term operational strength and continuity of a high performing Wealth Management team currently executing strategic growth. As we evolve into a streamlined structure, this position plays a central role in ensuring operational excellence and scalability.

This role works closely with firm leadership to gain deep expertise in our business processes, client service model, and operational infrastructure. This role is designed for someone eager to learn, innovate, and leverage AI and modern automation tools to enhance efficiency and support continued growth. You will become a key operational pillar and a critical contributor to the firm’s ongoing success and continuity.

Key responsibilities include: Social Media & Branding

  • Managing the team’s social media presence and digital footprint to attract High-Net-Worth (HNW) clients.

Media & Events

  • Coordinating media bookings and lead the end-to-end planning of client appreciation events and seminars.

Marketing Automation

  • Utilizing AI tools to streamline client communications, newsletters, and marketing outreach.

Strategic Administrative Support & AI Integration

  • Proactively manage Senior Portfolio Managers calendar, ensuring he remains focused exclusively on high-value activities (money management and HNW prospecting).
  • Proactively optimize the Senior Portfolio Managers workflow by acting as a strategic filter, ensuring 100% of their time is protected for High-Value Activities (HVA) like portfolio management and HNW prospecting.
  • Assisting Director of Operations in translating the Senior Portfolio Manager vision into repeatable, scalable processes.
  • Identify and implement AI-driven efficiencies to reduce manual administrative friction.

Client Service & Operations (Succession Training)

  • Working side-by-side with the Director of Operations to learn the "end-to-end" execution of the business strategy.
  • Acting as a backup for client inquiries, ensuring a high-touch, "white-glove" experience for HNW individuals.
  • Managing essential office logistics, expense tracking, and meeting preparations to ensure the "engine" of the firm runs smoothly.

The ideal candidate will possess:

  • Bachelor’s degree in business administration, finance, or similar field of study, or equivalent combination of education and experience.
  • CIRO licensed is an asset.
  • 3-5 years of progressive administrative or marketing experience in a professional environment (Wealth Management or FinTech experience is a significant asset).
  • Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Demonstrates a high level of accountability, adaptability, and innovation in achieving both day-to-day responsibilities and long-term goals.
  • Strong attention to detail.
  • Excellent attitude and commitment to providing exceptional service.
  • Exemplary interpersonal, influencing, and communication skills across multiple mediums (in-person, phone, virtual).
  • Strong problem-solving and critical thinking abilities.
  • Highly organized with a consistent and reliable work ethic.
  • Comfortable with ambiguity and able to manage a high volume of competing priorities.
  • Maintains the highest level of confidentiality.

Compensation & Benefits: Range $70,000 - $90,000 annually.

This range represents Wellington-Altus' expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on number of hours regularly worked.

Wellington-Altus' total compensation package for employees may also include discretionary bonuses as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
