About the position

Canada’s Extended Producer Responsibility (EPR) system operates at a provincial level, with regulations and program requirements varying across jurisdictions. Successfully managing these distinctions while aligning with national objectives is key to program success.

We are seeking a highly motivated and organized Operations System Analyst to join our operations team! The Operations System Analyst is responsible for ensuring the accuracy and integrity of data and invoices related to recycling operations. This includes validating incoming data and reconciling discrepancies with stakeholders as well as maintaining accurate service partner information in CRM. This role leads efforts to improve operational processes by identifying inefficiencies, implementing best practices, and driving continuous improvement initiatives and automation. A key aspect of the role involves collaborating with internal and external stakeholders, generating recycling performance reports, and supporting compliance and sustainability goals.

Responsibilities:

Submissions/CRM Administration

  • Validate incoming invoices against purchase orders, contracts, delivery/BOL and waste manifest records.
  • Review operational data entries for accuracy and completeness in ERP or financial systems.
  • Identify and investigate discrepancies in billing, pricing, quantities, site and service partner details.
  • Collaborate with stakeholders, operations and finance teams to resolve data mismatches.
  • Maintain documentation of validation processes and issue resolution.
  • Prepare, review and ensure accuracy of weekly payment report and submit to Operations Manager for approval.
  • Support month-end and year-end financial close activities by ensuring operational data completeness and integrity.
  • Generate reports and dashboards to monitor validation metrics and trends.
  • Ensure compliance with internal controls and audit requirements.
  • Continuously update and ensure accuracy of service rates and service partner information in CRM based on stakeholder agreements, contracts and approved material allocations.

Operational Analysis and Reporting

  • Collect, review, and validate recycling data from transporters and processors.
  • Document and maintain recycling process maps, monitoring material end-fate and resource recovery.
  • Ensure accuracy and consistency of reported recycling rates across facilities.
  • Analyze trends in recycling performance and identify areas for improvement.
  • Collaborate with operations, programs, and compliance teams to ensure proper data collection and verification methodologies.
  • Maintain databases and dashboards for tracking recycling metrics.
  • Prepare reports for regulatory agencies and internal stakeholders.
  • Assist in audits and verification processes related to resource recovery and reporting.
  • Stay up to date with relevant regulations, standards, and best practices in waste and recycling data management.

Operational Process Improvement

  • Analyze current data validation and operational processes and identify areas for improvement.
  • Collaborate with cross-functional teams or external stakeholders to design and implement optimized workflows and SOPs.
  • Assist in process improvement initiatives to enhance data quality and workflow efficiency.
  • Support root cause analysis and corrective action planning for recurring operational issues.
  • Support digital transformation efforts by identifying automation opportunities and working with operations, IT and finance teams to develop business requirements and implement solutions.
  • Perform User Acceptance Testing (UAT) to ensure functionality meets business requirements.

Service Partner Relations

  • Establish and maintain strong relationships with service providers to foster collaboration and trust.
  • Coordinate data collection efforts, ensuring timely and accurate submission of required information.
  • Act as the primary point of contact for service providers regarding operational issues and inquiries.
  • Facilitate clear and consistent communication between internal teams and service providers.
  • Document and track issues, resolutions, and feedback to identify trends and areas for improvement.
  • Support onboarding and training of new service providers to align with company standards and expectations.

What you bring

The ideal candidate will possess the following skills, experience, and qualifications:

  • Post-secondary education in Environmental Studies, Business, Engineering, Operations Management, or related field
  • Minimum of 2 years of experience in process improvement, operations, or business analysis.
  • Experience in waste management logistics and processing an asset.
  • Excellent communication and stakeholder management skills.
  • Excellent analytical skills, accuracy, and attention to detail.
  • Self-starter, with a proactive approach to problem-solving and critical thinking skills
  • Ability to work well with a team and as an individual contributor.
  • Accountable and responsible.
  • Excellent task and time management skills: prioritizing, multitasking, working with deadlines.
  • Proficient in Microsoft Office applications (Word, PowerPoint, and Excel).
  • Proficiency in tools like Excel, Power BI, Tableau, or SQL an asset.
  • Takes initiative, strong work ethic, can execute and gets things done.
  • CRM database and ERP administration and use.
  • Certification in Lean, Six Sigma (Green Belt or higher), or similar methodologies is an asset.
  • Clear and concise English language abilities, both written and verbal.
