The Opportunity:
This position provides day-to-day administrative support and clerical duties to the Deputy Fire Chief. It requires a high level of confidentiality, sound judgement, diplomacy, and attention to detail. Additionally, this position will perform a variety of administrative duties and clerical tasks in support of the Fire Prevention Bureau. This position will act as the point of contact and ensure the efficient and smooth day-to-day operations of the FP Bureau. This position will assist in daily office needs and managing general administrative activities.
Responsibilities include:
- Provide internal and external customer service to meet City of Airdrie standards of operation
- Provide administrative support to Deputy Chief Fire Prevention and Public Education
- Provide administrative support to Fire Prevention Bureau
- Receive, record, and respond to public inquiries/complaints by phone, email or in person
- Input data and maintain Fire Records Management system
- Coordinate release of information (FOIP); and provide FPB invoicing
- Support development and input data of Fire Prevention training materials in the training management system (FireEms)
You Bring:
- Post-secondary education in the administrative field is preferred
- Certificate in Office Administration would be an asset
- Two to three years administrative assistance experience
- Experience in municipal government would be an asset
- Ability to perform tasks autonomously
- Possess a sense of responsibility and punctuality
- Meticulous to details and maintains functioning workplace
- Ability to multitask based on priorities
- Effective communicator and creates a positive work environment
- Strong ability to express clear written communication, using language with precision, note taking, editing, and summarizing, record meeting minutes, memos, and emails
- Demonstrates strong communication skills when interacting with both internal and external customers
- Thorough understanding of computer software, browsers, and operating systems and is proficient with Sharepoint, Word and Excel
- Acts as a team player and is ready, willing, and able to support the team
