Summary of Position

We are seeking a detail-oriented and organized Administrative Assistant to support our operations team with daily field ticket processing. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with data and documentation, and has strong communication skills.

Accountabilities

  • Review, verify, and process daily field tickets for field staff and contractors.
  • Ensure accuracy and completeness of ticket information including job codes, hours, materials, and signatures.
  • Enter ticket data into internal systems and maintain digital and physical records.
  • Communicate with field personnel to resolve discrepancies or missing information.
  • Assist with generating reports related to field activities and ticket status.
  • Support general administrative tasks such as filing, scanning, and document control.
  • Collaborate with operations and accounting teams to ensure timely billing and payroll processing.
  • Weekly ERP entries.

Qualifications

  • Previous experience in an administrative role, preferably in a field-based industry (e.g., oil & gas, construction.)
  • Experience with ticketing or work order systems.
  • FieldCap experience is considered and asset.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (especially Excel and Outlook).
  • An excellent communicator and team player, able to work within a multi-disciplinary team environment with a positive attitude.
  • Detail oriented, meticulous, and have strong organizational skills.
  • Ability to work independently and manage multiple priorities.
