The Securities Transfer Administrator is responsible for the accurate and efficient processing of various stock transfer activities. This role involves day-to-day data entry, record-keeping, and adherence to established procedures. The administrator will manage both physical and digital documentation, maintain organized filing systems, and contribute to the smooth operation of the stock transfer department. The ideal candidate will be a highly organized, independent worker with a keen eye for detail and the ability to adapt to a changing environment.

This role is fully in office (5 days/week) - based in Toronto, ON.

Key Accountabilities:

  • Timely processing of all batches by reviewing data inputted for deficiencies; resolving discrepancies by using standard procedures of returning incomplete documents to individuals for resolution
  • Loading of manual records to our registrar system
  • Efficiently handle and process incoming mail, and physical drop-off items related to stock transfer. This includes accurate data capture and initiation of necessary actions.
  • Digitize the system generated reports, ensuring they are saved to the designated folder for easy access and record-keeping.
  • Diligently digitize and save all DRS statements and certificates to the appropriate folder and promptly update the relevant Trello card with status and details.
  • Sort scanned DRS statements and certificates according to their disposition (items for pickup, items to be left at the counter, and items to be mailed).
  • Processing and reviewing of securities mailing that need to be mailed out in accordance with TSX Trust mail insurance policies and procedures
  • Ensure all stock transfer tickets are closed accurately and in a timely manner.
  • Daily maintenance and File debit-related documentation in the designated fileroom, maintaining an organized and easily retrievable system.
  • Ensure compliance with policies, procedures and regulatory requirements.
  • Other duties and responsibilities as assigned

Must have skills:

  • Previous experience in an administrative role, preferably 1-3 years within a financial services or stock transfer environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and a collaborative team-oriented approach.
  • Organizational skills: Strong ability to manage multiple tasks, prioritize effectively, and meet strict deadlines.
  • Attention to detail: Excellent accuracy and attention to detail in data entry and all record-keeping.
  • Technical proficiency: Proficient in using computer systems, including MS Office Suite and Google Suite of products.
  • Problem-solving: Ability to analyze and problem-solve, working independently with minimal supervision.
  • Communication: Strong written, verbal, and listening communication skills for effective internal and external interactions.
  • Adaptability: A willingness and ability to adapt to a changing environment and responsibilities.
  • Industry knowledge: A working knowledge of the securities industry as it relates to back-office administration.
  • Work ethic: Must have a flexible schedule to work overtime as required and be a high-level, self-motivated independent worker.

Nice Have:

  • Completion of the Canadian Securities Course (CSC) or similar courses is preferred, but not essential.
