The Transaction Administrator is essential to maintaining the smooth processing of real estate transactions, ensuring ongoing support to our agents and internal departments, and upholding our client service standards.
This role is located at our Head Office in Vaughan, ON. This posting is for a replacement position. The expected hourly range for this role is $19/hour to $21/hour.
Please note the compensation information shown above is a general guideline only. Hourly rate is based upon candidate skills, experience, and qualifications, candidate’s geographical location, as well as market and business considerations.

Up to 3 years of experience working in a customer facing role. Recent graduates are encouraged to apply —this role offers an excellent opportunity to build hands-on experience in a fast‑paced environment. A bachelor’s degree or college diploma in a related field.
You’ll Stand Out if You Bring
Proficiency in Microsoft Office Suite; LoneWolf and Broker Bay
Real estate or prior homebuilding experience considered an asset.
What You’ll Be Doing Each Day
This position requires flexibility to work select weekdays, as well as both Saturday and Sunday each week, to support operational needs. Assist with general administrative functions including greeting visitors at reception, answering and directing phone calls, handling general inquiries, processing transactions using a POS system, and providing administrative support to ensure the smooth day-to-day operations. Manage transactions by inputting and processing all trade-related documents in Lone Wolf and internal systems (e.g., listing agreements, Agreements of Purchase and Sale (APS), amendments, waivers, commissions). Ensure all deals are in compliance with internal policies and RECO guidelines. Conduct quality control checks on documentation and follow up on missing items. Serve as a liaison for agents, providing timely updates and administrative support to ensure smooth closing processes. Coordinate between agents, legal offices, brokerages, and internal departments to facilitate seamless transaction processing. Maintain accurate digital filing systems and assist with preparing internal reports, trust ledger updates, and commission breakdowns.
