Job Description Accountabilities:
- Performs general office duties such as answers telephone, managing E-mails, etc. and directs and/or responds to enquiries.
- Greets visitors and directs them to the appropriate person(s).
- Files various documents electronically or manually.
- Open mail and process- out-going mail.
- Receives parcels and distributes to the appropriate person(s).
- Books appointments, manages appointment calendars, and/or refers to appropriate staff and/or other programs.
- Sets up client appointments and registers clients for programs and special events.
- Receives donations and prepares temporary receipts.
- Collects program fees and prepares receipts as needed.
- Takes calls/inquiries regarding site and programs available.
- Prepares and receives all paperwork for various projects and processes.
- Responds to workspace needs (upkeep and maintenance) as required and request for support as appropriate.
- Preparing Deposit summaries for Tithes, donations, Letter Appeals and Kettles
- Keeps the reception area clean and organized.
- Check washrooms/ refill supplies as needed.
- Oversee office supplies and inventory controls; order supplies when needed.
- Provides administrative and/or special project support as assigned (example: Christmas Campaign).
- Takes minutes at meetings as needed.
- May assist the Community Ministries Director for scheduling volunteers and manage tracking of volunteer hours for monthly reporting.
- Prepares forms for Hamper applications
- Prepares schedule forms for Hamper/Toy shop
- Prepares and maintains regular updates on social media platforms and Webpage
- Occasional event planning - arranging catering, preparing and sending out invites, assisting in events like volunteer appreciation and the opening of the new center.
- Performs other work-related duties as assigned.
- Enter statistics in SAMIS system
- May assist with data entry in Link2Feed.
- Preforms other work-related duties as assigned.
CRITICAL RELATIONSHIP MANAGEMENT Internal
- Program employees, students, and volunteers.
- Other Community Services employees.
External
- Clients
- External agencies, partners, and organizations.
- The public.
MANAGERIAL/Technical Leadership RESPONSIBILITY
- Reports directly to: Corps Officer (s)
- No formal supervisory or management responsibilities.
- May from time to time be responsible for facility during absence of CMD and Cos (Mostly dealing with issues that arise such as difficult guests, providing access to areas of the building to contractors and or repair workers).
- May show others how to perform certain tasks.
Financial And Materials Management
- Custodian of Gift Cards, maintaining gift card log
- Prepares deposit summaries, and bank deposits.
- Entry of bi-weekly PAD.
- Minor material responsibility.
- May be involved in financial matters such as receiving and receipting and donations.
- Submitting expense claims in Business World
- Manage purchase orders including preparing, tracking, and ordering, as required.
Working Conditions
- Generally comfortable working conditions in the office environment. Works within a community-based center.
- May deal with aggressive and/or disruptive people. Potential of verbal, and less likely physical mistreatment.
- Frequent interruptions and multitasking.
- Temperature variations
- May be exposed to infectious diseases.

- Completed high school diploma
- An alternative combination of education and experience may be considered
Experience And Skilled Knowledge Requirements
- A minimum of 2 (two) years of related experience.
- Previous general working experience is an asset.
Skills And Capabilities (examples Provided Below)
- Excellent communication skills (verbal/written) and strong customer service skills.
- Proficient in MSOffice 365 (Excel, TEAMS, Word etc.).
- Able to control emotions and display a patient, calm and collected demeanor.
- Dependable and punctual.
- Able to maintain work area in a neat and tidy appearance.
Compensation The target hiring range for this position is $17.85 to $20.43 with a maximum of $24.52.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
