Coordinator, Data Management and Program Delivery - Remote
About the role
OVERVIEW
Reporting to the VP of Data Management and Program Delivery, the Coordinator, Data Management and Program Delivery is a key contributor to the department’s success. This role provides high-level administrative and operational support to the broader team, ensuring seamless execution of departmental initiatives. The coordinator will manage workflows, support content development, and foster collaboration to drive strategic outcomes.
RESPONSIBILITIES

Provide flexible and proactive support to team members across the Data Management and Program Delivery department, adapting to evolving priorities and needs.

Support the scheduling and logistics of virtual and in-person meetings, including agenda preparation and follow-up communications.

Provide flexible and proactive support to team members across the Data Management and Program Delivery department, adapting to evolving priorities and needs. Organize and participate in departmental meetings, capturing key discussions, decisions, and action items, and ensuring timely dissemination to relevant stakeholders.

Assist in the development and refinement of presentations, reports, and departmental communications, ensuring clarity, consistency, and alignment with strategic goals.

Conduct research on industry-related topics and emerging trends to support departmental initiatives, presentations, and planning.

Review and prepare documents for completeness and accuracy prior to distribution, filing, or presentation.

Coordinate the handling of sensitive or complex issues by facilitating communication, analyzing context, and ensuring timely resolution.

Collaborate with senior directors and team members to monitor progress on departmental initiatives and drive completion of action items assigned by the VP.

Manage confidential and sensitive information with discretion, supporting informed decision-making and strategic planning.

Contribute to the development and maintenance of internal content libraries, templates, and knowledge-sharing tools to enhance team efficiency.

Perform additional administrative and operational tasks as required to support the department’s goals and initiatives.
QUALIFICATIONS
Education
- Diploma or Degree in Business Administration, Communications, Project Management, or related major.
Experience
- 3+ years’ experience in a project coordination or administrative support role.
- Experience working in a complex, multi-project environment with several clients is critical to be successful in this role.
- Proven ability to manage multiple priorities in a fast-paced, multi-project setting.
- Experience supporting senior leadership and cross-functional teams.
- Demonstrated success in coordinating meetings, preparing communications, and managing sensitive information.
Knowledge**/Competencies/Skills**
- Strong understanding of office administration and departmental operations
- Proficient in leveraging a range of productivity and collaboration tools, including the full Outlook suite for communication and scheduling, PowerPoint for impactful presentations, and JIRA for efficient project tracking. Highly comfortable using Microsoft Teams to facilitate seamless team collaboration and stakeholder engagement.
- Basic knowledge of human resources processes and procedures
- Awareness of organizational policies, compliance requirements, and confidentiality standards
- Excellent analytical, conceptual thinking, planning, and execution skills.
- Proactive, self-led stakeholder communications and outreach is a must.
- Possess client management skills with a passion for building effective customer relationships and exceeding partner expectations.
- Comfortable communicating at all levels of the organization including business executives and technical experts.
WORKING CONDITIONS

All CM employees work 40 hours per week, remotely from a home office environment.

The job demands that the incumbent have a flexible work schedule with periods of uneven workload.

The incumbent has tolerance for change as Circular Materials implements its new program obligations.

The incumbent must attend in-person meetings when requested based on VP schedule or job demands.
