POSTION PURPOSE:
To provide senior-level executive support to the Chief Executive Officer (CEO) and Chief of Staff, enabling the effective execution of Infrastructure Ontario’s strategic mandate. This role ensures seamless coordination of CEO priorities, supports enterprise-wide initiatives, and facilitates communication across internal and external stakeholders. The Executive Assistant plays a critical role in managing the operational rhythm of the CEO’s office and supporting the Chief of Staff in advancing strategic initiatives.
What You Will Do:
Executive Administration & Liaison Support
- Serve as the first point of contact for the CEO’s office, managing communications with senior leaders, government officials, and external partners.
- Manage the CEO’s calendar with a strategic lens, ensuring alignment with corporate priorities, Board commitments, and stakeholder engagements.
- Coordinate with the Chief of Staff to ensure meetings and engagements reflect strategic priorities and operational needs.
- Anticipate and resolve scheduling conflicts independently, optimizing the CEO’s time and availability.
- Monitor the CEO inbox and flag urgent items requiring escalation and/or approval.
- Support the Chief of Staff in tracking and following up on action items, deliverables, and strategic initiatives.
- Prepare and submit expense reports and manage approvals in accordance with IO’s Delegation of Authorities (DOA).
- Coordinate internal requests related to travel, memberships, learning and development, and conferences.
- Lead coordination efforts across the EA team to support effective scheduling amongst the IO Executive Management Team.
- Maintain CEO contacts within Outlook, ensuring that critical contact information is current and accurate.
- Respond to urgent requests and priority communications as may be required outside of regular working hours.
Travel & Engagement Coordination
- Plan and manage complex itineraries for the CEO, including project site visits and regional office tours.
- Coordinate with Communication to support logistics for CEO participation in conferences, speaking engagements, and stakeholder meetings.
Meetings & Materials Preparation
- Organize and support high-profile meetings including executive offsites, and stakeholder roundtables.
- Provide in-office support to ensure all logistics, technology, and materials are prepared for seamless execution of all meetings.
- Ensure the CEO has all required information and meeting agendas available in OneNote.
Document Management & Communications
- Working with the Communications team and Chief of Staff, manage internal and external communications on behalf of the CEO, ensuring alignment with organizational tone and standards.
- Maintain document integrity and ensure adherence to corporate templates and protocols.
- Support the preparation of Board submissions, strategic reports, and CEO updates.
Operational Coordination & Special Projects
- Ensure the CEOs office has sufficient supplies and resources, including the coordination of any IT requests.
- Update the CEO calendar with key business activities and project milestones.
- Assist with special projects and initiatives as directed by the CEO or Chief of Staff.
Who We Are Looking For:
- Minimum 2 years of experience supporting C-suite executives, preferably in a public sector, broader public sector or complex corporate environment.
- Experience managing confidential and politically sensitive information.
- Proven ability to navigate and influence within an organization
- Exceptional organizational, time management, and prioritization skills.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Co-Pilot).
- Ability to work independently in a fast-paced environment.
- Strong interpersonal and relationship-building skills with internal and external stakeholders.
- Demonstrated ability to synthesize complex information and support strategic decision-making
- Post-secondary diploma in Business Administration or equivalent is an asset
