About the role
OFFICE AGENT PRINCIPAL CLASS
Directors: Diane Pellerin & Jeff Wood
50% with Equipment Services: 10:00am - 1:30pm
50% in Transportation: 2:30pm - 6:00pm
Qualifications:
Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority and have six (6) years of pertinent experience.
AND
Have a thorough knowledge of office automation.
Other Requirements:
- Must be bilingual
- Must have excellent knowledge and demonstrated ability in Microsoft WORD, EXCEL, ACCESS and POWERPOINT
- Must have excellent interpersonal and communication skills
- Demonstrated ability to deal with the public in a professional manner
- Demonstrated above-average organizational skills and the ability to meet strict deadlines
- Demonstrated ability to work independently as well as effectively on a team
- Demonstrated ability to multi-task and work effectively under pressure
- Must be willing to work additional hours during very busy periods
- Must be willing to learn software related to department needs
- Ability to treat documents with diligence while respecting confidentiality
Nature of the work:
The principal and customary work of an employee in this class of employment consists in organizing, coordinating, and monitoring the work performed by his or her team composed of administrative support staff. This class of employment also includes employees who perform principally, and customarily highly specialized work characterized by the complexity1, expertise2 and autonomy3 required.
Daily Tasks/Dossiers:
- Processing and filing of school/center/department incident and event reports. Assist with follow-up.
- Compiling documents and reports for Facilities/Transportation meetings, as well as attending meetings and taking minutes when necessary.
- Follow-up with rental customers on the terms and conditions for payment or collection.
- Work with schools/centers and occasionally bus carriers to inform them of current rentals, change blackout dates, governing board meetings, and more.
- Assist with department invoices and purchase orders.
- Perform various clerical duties as required by the department.
