Position Description

The Industry Partnership & Commercialization (IP&C) office of The Hospital for Sick Children (SickKids)
champions the development and commercialization of SickKids innovations. To achieve this goal, we foster a
culture of innovation and entrepreneurship, we forge commercial partnerships, and we help to build start-up
companies.
Reporting to the Executive Director, with operational guidance provided by the Operations Manager, IP&C is
seeking a highly organized, proactive and experienced Administrative Coordinator to provide executive-level
administrative support and operational support to the department. The ideal candidate will be a strategic
thinker, an excellent communicator, and a discreet professional capable of managing multiple priorities with
attention to detail in a fast-paced, high-impact environment. This role is essential to ensuring the smooth
operation of the Executive Director's day-to-day activities and acting as a trusted liaison across the
organization and with external stakeholders.
Working with with an energetic team, the Administrative Coordinator will apply initiative to work
independently on projects and tasks, and will collaborate with the team to help achieve departmental goals.

Here's What You'll Get To Do:

Executive-Level Administrative Support to Executive Director (40%)

  • Calendar management ' scheduling and managing conflicts
  • Meeting and Events Logistics - scheduling meetings and events, preparing agendas, arranging logistics,
    handling travel and accommodation as needed, and ensure timely follow-ups on action items
  • Prepare, solicit input for, revise and format various documents, including presentations and reports
  • Prepare expense reports and reconciliation (including for other members of the team)in timely fashion
  • Serve as the primary point of contact between the Executive Director and internal / external stakeholders
  • Manage the formatting and secure routing for execution of legal agreements internally and externally

Project Management / Coordination (30%)

  • Act as the project lead for the SickKids Proof-of-Principle funding program with year-round management of
    the project
  • Act as primary coordinator with SickKids Foundation for the Breakthrough Fund
  • Manage the lifecycle of physical and digital records including maintaining filing systems, ensuring proper
    documentretention and facilitating secure archiving and retrieval
  • Support the Operations Manager with special projects and data compilation for decision-making
  • Provide event planning and execution support as needed

Operational / Administrative Support (30%)

  • Manage and respond to internal and external requests
  • Manage office supplies, ensuring optimal support for the department's functions
  • Manage several general e-mail inboxes for the office by responding promptly to internal and external
    inquiries exercising sound judgment and discretion
  • Perform general office duties such as maintaining organized electronic and physical filing systems, scanning,
    photocopying and data entry

Here's What You'll Need:

  • Bachelor's degree or diploma in Business Administration
  • Minimum 3+ years in an executive-level administrative role supporting senior leadership or C-level
    executives
  • Administrative experience in a non-for-profit / healthcare environment is preferred
  • Advanced knowledge and technical proficiency in all Microsoft Office Suite applications (MS Word, Excel,
    PPT), document management systems (i.e. SharePoint) and virtual meeting platforms (i.e. Zoom, MS Teams)
  • Proven expertise in calendar management, travel coordination and administrative operations
  • Experience in supporting multiple projects and stakeholders simultaneously
  • Strong background in preparing executive-level reports, presentations and briefings
  • Attention to detail and ability to manage competing deadlines and priorities
  • Ability to work independently, anticipate needs and take initiative
  • Exercises sound judgement, diplomacy & commitment to data integrity and confidentiality
  • Demonstrates commitment and actions in advancing equity, diversity and inclusion objectives
