Position: Records Clerk - Information Management Branch
Location: 30 Isabella Street, Toronto, ON, M4Y 1N1
Duration:8 Weeks (expected to start as early as June 2026 up to August 28, 2026)
Hours: 35 hours per week
Wage: $17.60/hour
PURPOSE:
The Records Clerk will support our information and document management practices within the Records Management Services Department. The candidate will assist in our organizational digitization efforts by supporting our scanning initiatives, cataloguing, and making an inventory of record holdings and keepsakes. The candidate will also work in our electronic data systems that will include activities to ensure our electronic client records meet harmonized business practices in accordance with Provincial standards. Additional responsibilities will focus on efforts to ensure good records management practices such as indexing, naming conventions of historical records, data management and the review and evaluation of our external records repositories.
MAJOR RESPONSIBILITIES
- Respond to telephone and written requests for records/information from Agency staff. Manages incoming requests for Records Management Services and participates in filing and distribution of requests.
- Assist in the organizational digitization efforts by supporting our scanning initiatives, cataloguing, and making an inventory of record holdings and keepsakes.
- Work in various electronic data systems, that will include activities to ensure electronic client records meet harmonized business practices in accordance with Provincial standards.
- Conduct accurate searches across various systems for records/information in response to search and information requests.
- Complete and files responses for requests providing detail on the searches conducted and creates contact logs as required.
- Update CPIN as required, including assisting with case profiles, uploading historical Records to historical cases, creating historical cases as required.
- Perform CPIN person profile maintenance which includes merging duplicate person Records and updating person profiles as required
- Perform collection, retrieval and conversion of stored Records not readily available in digital form including scanning paper, fiche and film and stores digitized Records into appropriate repositories.
- Prepare or updates reports and statistical records using database/spreadsheet applications, including maintaining counts of records searches performed.
- Ensure all legacy files are appropriately cross-referenced in historical databases and keeps a log of department file information such as files or notes received to be appended or added to the legacy system.
- Maintain good records management practices, such as indexing, naming conventions of historical records, data management and the review and evaluation of external records repositories.
- Assisting in typing a variety of material such as memos, letters, reports, schedules, lists, documents, and minutes, and occasionally composes correspondence.
- Open, sorts, and distributes mail and faxes. Photocopies, scans, faxes and mails material as required.
- Advise Supervisor of any problems in execution of administrative and team responsibilities and participates in the planning for resolution of problems.
- Acts in accordance with and incorporates Society's Code of Ethics, Confidentiality, Anti-Oppression/Anti-Racism, Harassment & Discrimination policies, etc.
- Use sound judgment in consideration of financial resources.
- Complies with Society's financial policies and procedures.
- Works in a safe manner in accordance with the Society's health and safety policies and procedures and all relevant legislation.
- Perform other tasks as required.
QUALIFICATIONS
This position is funded by Service Canada, and as per the funding requirements, all successful candidates need to meet all of the following criteria at the start of employment:
- Between 15 and 30 years of age (inclusive) at the start of employment;
- A Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act;
- Legally entitled to work according to Ontario legislation and regulations;
- Able to provide a police check as per position requirement;
- Enrolled in or completed post-secondary education.
Other Requirements:
- Must be enrolled in or completed post-secondary education
- Be able to work onsite 5 days a week.
- A non-judgmental, calm approach to dealing with agency clients;
- The ability to be self-directed.
- Strong oral and written communication skills;
- Good conceptual skills;
- Works cooperatively within a team;
- Strong research and analytical skills
- Cleared police check.

- Understanding of and interest in working with children and families;
