Responsibilities The Administrative Assistant is a contract position for approximately 15 months to cover maternity leave. This role is based is located in Scarborough and typically reports directly to the Project Manager. Duties and responsibilities include but are not limited to:
- Entering timesheets
- Submitting and tracking locate requests
- Processing expenses
- Assisting in Proposal Preparation, estimates and bids
- Creating and managing Purchase orders
- Ordering material and supplies
- Performing Document control functions
- Managing Change order controls
- Requesting subcontractor Purchase Orders from the legal department
- Maintaining and preparing reports from manual or electronic files, inventories, mailing lists and databases
- Performing Inventory report reconciliation
- Ordering office supplies, servicing office equipment and arranging major repairs where required
- Maintaining control of project information related to multiple project linkages
- Updating and revising necessary documentation and information on SharePoint
- Performing other duties as required
What You Can Offer
- High School Diploma
- Degree or Diploma in Office Administration or related would be considered an asset
- 1-2 years in an office environment in an administrative role
- Experience in the construction sector is considered an asset
Skills, Abilities, And Other Requirements Proficient/Intermediate/Advanced knowledge and understanding of:
- Organization and time management
- Work well under pressure
- Meet all deadlines
- Ability to multitask
Proficient User Of
- MS Office (Word, Excel, Project)
- JD Edwards or an Oracle-based ERP system considered an asset
The expected salary range for this role is between $47,500 - $57,500 per year. The starting salary will be determined based on several factors such as the successful candidate’s qualifications, including but not limited to education and experience. Base pay is one component of Black & McDonald’s total rewards package. Total rewards vary by position and may include additional offerings such as group insurance benefits, pension plan, annual discretionary bonus, career development programs, and other HR programs.
