Location: North York (4 days/week), Mississauga (1 day/week)

Reports to: Clinic Manager / Operations Lead

Job Class: Full-Time

Salary Range: $25.00 – $28.00 CAD per hour

Position Summary As a Lead Medical Office Assistant at WELL Health Hemorrhoid Treatment Centres, you’ll play a vital role in supporting clinical operations and ensuring the delivery of excellent patient care. You will oversee the daily operations across two clinic locations, coordinate staff and schedules, ensure compliance with policies, and assist physicians and patients throughout the care process.

This position requires strong multitasking abilities, leadership skills, attention to detail, and a compassionate approach in a fast-paced clinical setting.

What You Will Be Doing

  • Greet and register patients, verify insurance information, and process payments.
  • Schedule and confirm appointments, ensuring smooth patient flow throughout the day.
  • Escort patients to and from exam rooms and ensure rooms are cleaned and prepared between appointments.
  • Maintain accurate and up-to-date electronic medical records (EMR).
  • Answer phone calls, respond to inquiries, and manage clinic correspondence and faxes.
  • Assist physicians with minor procedures and provide clinical support as needed.
  • Handle billing tasks, submit insurance claims, and assist with reconciliation as required.
  • Ensure exam rooms and administrative areas are clean, stocked, and organized.
  • Keep physician schedules accurate and up to date across both clinic locations.
  • Manage staff vacation requests and coordinate appropriate staffing coverage.
  • Assist with preparing and participating in staff meetings and training sessions.
  • Order and track clinic inventory to ensure adequate supply levels.
  • Coordinate with property management regarding maintenance or facility issues.
  • Address and resolve patient or staff concerns in a timely and professional manner.
  • Monitor daily operations and adjust staffing or scheduling to maintain workflow efficiency.
  • Promote a welcoming, organized, and patient-focused clinic environment.

You have

  • Previous medical office experience, ideally in a lead or senior administrative role.
  • Strong organizational and communication skills with a proactive mindset.
  • Ability to commute reliably between North York and Mississauga locations.
  • Comfort working independently and collaboratively within a team setting.
  • Experience with EMR systems and general administrative software applications.
  • Excellent multitasking and problem-solving abilities in a clinical environment.
  • A patient-centered approach and professionalism in all interactions.

The wage offered for this position falls within a specified range and will be determined based on experience, qualifications, skills, and organizational needs.
