Responsibilities:

  • Review purchase requisitions (PRs) for accuracy and completeness, and verify with requestor where additional information is required.
  • Create Purchase Orders (POs) and process Working Purchase Orders (WPOs) in Meditech; distribute POs to suppliers via email, Electronic Data Interchange (EDI), or phone call in urgent cases.
  • Update PO confirmations in Meditech with the supplier’s Estimated Time of Arrival (ETA).
  • Communicate pricing, catalogue number, and vendor changes to the assigned Purchasing Lead.
  • Monitor and follow up on PO backorders on a timely basis; update ETA date and document notes in Meditech accordingly.
  • Coordinate the processing of repairs, loaner instruments, sets, and return POs as required, including obtaining return authorization numbers from vendors.
  • Respond to phone inquiries and follow up on requests in a timely and professional manner.
  • Assist with month-end closing by closing the Purchasing and Inventory periods in Meditech and generating required inventory reports.
  • Perform electronic filing of purchasing documents and other general clerical duties as assigned.
  • Ensure all time-sensitive tasks are completely promptly, ideally same day or by the next business day.

Qualifications:

  • Previous experience with Meditech's Materials Management Module is mandatory.
  • Previous Purchasing/Supply Chain experience in a similar role is mandatory.
  • Familiarity with medical and surgical supplies is considered an asset.
  • Proficient in Microsoft Outlook, Word and Excel.
  • Ability to work independently in a fast-paced environment while demonstrating professionalism and maintaining patient confidentiality.
  • Strong prioritization and multitasking abilities are essential.
  • Excellent organizational and time management skills with a focus on customer service.
  • Sound judgment and decision-making skills, with keen attention to detail and accuracy.
  • Strong verbal and written communication skills with an excellent command of the English language.
  • Ability to collaborate effectively within a multidisciplinary team in a dynamic and evolving environment.
  • Flexible, self-motivated, and capable of working with minimal supervision.
  • Consistently demonstrates reliable attendance, punctuality, and high performance.
