Founded in 1960, the Youth Services Bureau of Ottawa (YSB) is one of the largest and most comprehensive non-profit agencies in Ottawa and a registered charity. It provides mental health services, employment programs, emergency shelter, community, health and housing services, and justice programs to youth in the Ottawa area, serving between 2,500 and 3,000 at‑risk individuals aged 12+ and their families every month. YSB employs 400 caring professionals in a unionized environment in over 21 locations across Ottawa.
Under the general direction of the Director of Employment Services for Youth Services Bureau (YSB), the Coordinator is responsible for overseeing the effective operational and administrative functioning of YSB Employment Services (ES), an Employment Ontario Service Provider, delivering a full range of employment services to Ontarians of all ages.
What will you do:
Staff & Program Related
- Support the effective recruitment, orientation, supervision, evaluation & training of all unit personnel and student internships as delegated by program Director
- Ensure completion of annual employee performance review and work plan for assigned staff
- Oversee and ensure the smooth day to day operations of the unit by delegating and coordinating essential daily activities
- Oversee staff scheduling; considering coverages, vacation, hybrid rotation, holiday dates
- Chair operational and staff meetings to assess/review program, client and employer needs, outcomes and objectives; share the latest funder updates, seek feedback and input from staff
- Liaise with other services within YSB and the community as required
- Participate in and or deliver public education on the program and issues related to employment and the state of the labour market
- Contribute to program evaluation & development through identification of client and workforce trends
- In conjunction with Director, work with leadership team on program related
activities such as data integrity issues and report findings - Ensure compliance with funder requirements, data and file management systems and program guidelines
- Ensure compliance with all Targets and Key Performance Indicators (KPI’s), and all service delivery model requirements
- Support the Managers in the preparation of scheduled reports, forecasts, Performance Reviews as required by the funder
- Participate in the preparation of annual business planning process and budget reviews
- Ensure compliance with Agency Policies and Procedures, Program Policies,
Collective Agreement & relevant Ministry of Labour legislation - Ensure safe working practices are followed as established by the YSB and the Program
Clinical Duties
- Oversee and monitor staff implementation of service plans & follow up services
- Oversee and monitor outreach and referral services
- Provide Risk Management analysis of situations and potential scenarios
- Ensure that operations, processes and protocols are compliant with Youth Services Bureau’s (supervision, committee participation, additional project management, etc.)
Administrative responsibilities
- Participate in staff selection with Human Resources
- Ensure all administrative tasks are completed on time and in accordance with unit & Bureau policies, including submission of payroll and approvals of time off requests
- Ensure client and employer files are maintained and current within established guidelines
- Assist the Program Manager in the preparation of statistical report documentation or other reports as required by Director or program funders
- Support the administration of budget & be accountable for site expenditures
- Prepare for accreditation as required
- Maintain physical plant & equipment
- Maintain inventory supplies
This opportunity may be for you if you have:
- Degree or diploma in Business, Social Sciences, Career Development, Leadership Development
- Minimum 5 years experience in a related setting
- Proven organizational and administrative skills
- Demonstrated decision making and problem-solving skills
- Strong written and verbal communication skills in both French and English
- Knowledge of Labour Market
- Knowledge of Project and Performance Management
- Experience creating and delivering presentations
- Knowledge of budget development and management
- Knowledge of ministries, guidelines, legislations, regulations and requirements
- Knowledge of Community partnerships and available services
- Computer skills (Microsoft suite of programs)
- Knowledge of intervention strategies and technique
- Experience working in a non-profit environment
- Valid driver’s license and access to reliable transportation are required.
Additional Qualifications:
- Successful applicants will be required to provide a clear Criminal Record Check, Vulnerable Sector Check or Broad Police check obtained within the past six (6) months, as a condition of employment with YSB.
- To confirm language proficiency required for this position, successful candidates may be requested to undergo an oral and written assessment conducted by a third-party provider, arranged by YSB. Candidates must meet the minimum required linguistic profile before their employment start date. Formal education may be considered as sufficient demonstration of language proficiency, but is subject to review.
- Occasional travel outside of Ottawa region/overnights are required.
