LOCATION: Toronto, ON

POSITION TYPE: Full-Time Regular (37.5 hours/week)

Lumenus Community Services is looking for a dynamic Administrative and Client Facilitator to join our Counselling and Community Service Team as a member of our Central Toronto Youth Wellness Hub (YWHO). YWHO is an Integrated Youth Services (IYS) initiative designed to address the service gaps in the youth mental health and substance use sectors in Ontario. YWHO supports local service providers to work together to provide young people in Ontario aged 12 to 25 with low barrier access to a full range of services including mental health and substance use supports, primary care, education, employment, housing and other social services all through youth-friendly access points.

The role of Administrative and Client Facilitator serves as the initial point of contact for youth, families, service providers, and community members reaching out to access services and gather more information about the Central Toronto Youth Wellness Hub (YWHO). This role works as a member of a multidisciplinary team to support youth and their families accessing YWHO services and facilitates client experiences through a consistent and centralized intake process. This role also provides a broad range of administrative duties and supports the coordination of the day-to-day operations of the Central Toronto Youth Wellness Hub (YWHO).

Experience with/lived experience of oppression, racism, homophobia, transphobia and/or ableism and/or personal connection to queer or trans communities of color, including newcomer and disability communities will be an asset for applicants.

KEY****RESPONSIBILITIES:

Administration and Facilitation

  • Respond and consult to inquiries from the community regarding YWHO Hub and Lumenus Community Services.

  • Provide program support by administering client files, inputting client information into client databases and collect walk-in data for reporting.

  • Receive incoming telephone calls and/or visitors; providing relevant information and/or directing them to the appropriate parties/resources.

  • Perform administrative duties for program support as required.

  • Prepare and maintain client files according to program procedures.

  • Arrange meetings and facilitate room set up as required.

  • Coordinate referrals internally and from YWHO partners.

  • Chair biweekly clinical consultation meetings with YWHO partners and therapists, including booking and administrative follow up of appointments.

  • Attend administrative meetings to ensure the smooth running of YWHO and counselling procedures.

  • Complies with agency policies and procedures, paying particular attention to ensuring that client and staff confidentiality is strictly enforced.

  • Adhere to the organizational health and safety policies and practices along with the Ontario Occupational Health and Safety Act. This includes but is not limited to ensuring safe; workplace practices, protecting the health and safety of themselves and others and maintaining cleanliness in the workplace.

  • Other related duties as required.

QUALIFICATIONS AND EXPERIENCE:

  • Diploma or degree in social services field or a combination of education and experience that will meet the needs of the position.

  • Previous administrative support experience.

  • Experience in supporting crisis de-escalation.

  • Prior experience working with youth from BIPOC (Black, Indigenous, and People of Colour), 2SLGBTQ+, and other equity deserving communities.

  • Prior work with youth who experience mental health challenges.

  • Strong computer skills including use of MS Office (Word, Excel, PowerPoint, Outlook).

  • Broad knowledge of not-for-profit organizations.

  • Familiarity with and sensitivity to diversity and inclusion in the workplace and within the community.

  • Ability to balance demands/priorities of workload, manage time effectively and operate within the framework of stated expectations.

  • Ability to interact effectively with Lumenus client’s agency staff and external community partners.

  • Ability to work effectively with youth/families and create a welcoming environment.

  • Strong interactive/communication (verbal and written), and interpersonal skills.

  • Ability to maintain high level of accuracy and confidentiality.

  • Demonstrate strong problem-solving abilities during time sensitive situations.

ADDITIONAL REQUIREMENTS:

  • Satisfactory clearance under the Vulnerable Sector Screening Process;

  • Required to work 2 evenings a week.

  • Occasional overtime may be required.
