POSITION SUMMARY

The Project Analyst supports the Project Management Office (PMO) in ensuring projects are completed on time, on scope, and on budget. The role is responsible for tracking and reporting, data analysis, project coordination, and maintaining PMO tools and governance artifacts. The Project Analyst is expected to demonstrate advanced proficiency in project management tools including Jira, Confluence, and Dovico, and to deliver accurate, timely reporting to support PMO and organizational decision-making.

KEY DUTIES AND RESPONSIBILITIES

  • Contributes to project planning, budgeting, and overall project delivery, ensuring all project expenditures and project budgets are tracked.
  • Supports members of the team on their designated projects, as well as leads smaller business initiatives that require scheduling and task management expertise.
  • Liaises with project team members and provides suggestions or solutions to unforeseen issues when needed.
  • Analyzes project data and produces reports and insights to optimize PMO performance and to identify its weaknesses and resolve any time-related or budgetary issues.
  • Shares project commitments to the team by ensuring they are aware of expectations, required tasks, performance measures for deliverables and deadlines.
  • Monitors existing projects to ensure timely execution and completion and liaises with business areas as needed during all phases of the project.
  • Coordinates project schedules and prepares regular progress reports for Project Managers, Project Sponsors, Leadership and Senior Leadership Team/Board of Directors.
  • Proactively identifies, understands, and uses a variety of analytical approaches to review information, formulating short-term and long-term reporting.
  • Ensures all project strategies are in compliance with company standards, as well as laws and regulations when applicable.
  • Seeks regular feedback on deliverable approvals throughout the process and maintains a log to track project approvals and deliverables.
  • Develops appropriate communication plans with the team, creates opportunities for the team to share, and adjusts to audience needs.
  • Reviews and reconciles time tracking (cost tracking system) against project plans to determine actuals and estimate to complete; maintains the Financial Dashboard with accurate monthly actuals across all active projects; proactively tracks budget variance and flags discrepancies to the PMO Manager.
  • Ensures adherence to all policies, processes, procedures and working principles adopted by the Project Management Office as described in the PMO documents.
  • Participates, as required, in kickoff and planning sessions and meetings on all PMO projects.
  • Manages common documentation for projects, ensuring consistency for project sponsors, PM's, team members and key stakeholders.
  • Ensures all necessary privacy, architecture and security reviews are performed per project.
  • Assists with orientation and user account setup for any project resources who are new to project work and external vendors/consultants.
  • Maintains and updates Jira project spaces and Confluence documentation, including ticket descriptions, audit tracker entries, status updates, and PMO governance pages; ensures accuracy and completeness of all PMO-managed records without requiring technical guidance.
  • Produces and maintains PMO performance reporting, including KPI dashboards, SBC utilization reports, and portfolio status summaries; proactively identifies data anomalies and escalates findings with context and recommendations to the PMO Manager.
  • Performs other duties as assigned.

QUALIFICATIONS AND SKILLS

  • Dedicated to the principles of exceptional service; committed to responding to, anticipating, and addressing customer needs, for both internal and external customers.
  • Post-secondary degree, certificate, or diploma in Project Management, Commerce, Business Administration, Business Analyst or equivalent. An equivalent combination of education and 2-3 years of experience in the insurance industry will be considered.
  • Highly proficient verbal and written communicator, with the ability to clearly translate complex subject matter to technical and non-technical stakeholders at all levels of the organization, resulting in concise and clear technical documentation and business requirements.
  • Highly skilled at facilitating collaboration between cross-functional stakeholders to establish common understanding, build consensus, make decisions and solve problems.
  • Demonstrated project management skills with the expertise and hands-on experience to manage and coordinate multiple project teams.
  • Demonstrated ability to research, analyze, assess, provide options and make recommendations.
  • Strong problem-solving / analytical skills with an attention to detail. Exercises judgment, tact and discretion when handling confidential corporate records.
  • Self-directed, with exceptional organizational skills and a proven record of managing and prioritizing multiple tasks within varied and dynamic timelines on an ongoing basis.
  • Proficiency in Microsoft Excel, PowerPoint, and Word, Teams (MS 365); capable of producing executive-ready deliverables independently and without requiring formatting assistance.
  • Proficient in Jira and Confluence; able to create and maintain project spaces, manage ticket workflows, update documentation, and support audit and governance activities with a high degree of accuracy and independence.
  • Experience with time and cost tracking tools (Dovico or equivalent); able to reconcile entries, validate accuracy, identify discrepancies, and produce financial reports with minimal oversight.
  • Demonstrated ability to build and maintain KPI dashboards and portfolio reporting; translates raw project data into clear, actionable insight for PMO leadership and senior stakeholders.
  • Committed to life-long learning and professional development, capable of completing industry education programs entailing self-directed study and the writing of graded examinations.
