Job Summary

A Brief Overview

Reporting to the Executive Lead, University Wide Development, this position provides strategic support for the activities of the development team. Duties include a combination of administrative and strategic support of all areas of Development including Leadership Giving, Major Giving, Corporations and Foundations, Gift Planning, Donor Experience and Prospect Development. The incumbent will liaise with development partners, senior leadership, Office of Advancement staff, and the broader university community to implement strategies compatible with a diverse fundraising environment. The incumbent brings a forward-thinking perspective, strong customer-focused skills, sound judgment, and meticulous administrative abilities to maximize donor support.

In consultation with Development team members, the incumbent will develop and support logistics for implementing strategic, operational, and tactical plans for development programs. They will participate in the identification, development and delivery of key recognition, stewardship, and fundraising programs.

This role also includes providing administrative support to the Executive Lead, University Wide Development, including scheduling meetings, creating agendas, distributing documentation, recording minutes, travel and trip bookings, and liaising with volunteers, donors, faculty and staff. Assists with pre/post visit planning and follow-up.

This position helps foster relationships with donors by coordinating the administrative details associated with planning and implementing fundraising campaigns. This position coordinates key fundraising events by coordinating meetings, preparing agendas, background and promotion materials, and overseeing key event details. This position also performs analysis of the prospect pool and fundraising projections to identify and evaluate prospective donors.

The schedule for this position requires the incumbent to work frequent early mornings, evenings and weekends, according to program or area needs.

Job Description

What you will do

  • Identifies and evaluates prospective donors to categorize them by performing analysis of the prospect pool and fundraising projections.
  • Assists with pre/post visit planning and follow-up including obtaining research profiles and wealth assessments, booking of meetings, and updating all contact reports and solicitation activity in the database.
  • Prepares reports, presentations, letters, and invitations for university administration, volunteers, top donors, and prospects.
  • Drafts briefing notes for senior staff.
  • Creates and maintains print, email and web content to support departmental priorities.
  • Coordinates and supports meetings, prepares and circulates notices, agendas, and background materials, and books guests, rooms and equipment.
  • Participates in the development and delivery of key fundraising events.
  • Manages, coordinates and maintains individual and class giving materials.
  • Develops and manages the communications content and schedule for the unit.
  • Tracks feedback from fundraising initiatives.
  • Assists with budget preparation, invoicing, monitoring and reconciling accounts, preparing expense reimbursements and purchase orders, and journal entries.
  • Produces spreadsheet reports to assist staff in tracking revenue and expenses.
  • Writes case statements and donor proposals in support of key solicitation/engagement opportunities.
  • Coordinates the Student Thank you program as well as the departmental acknowledgment system.
  • Prepares letter of intent for the donors/organizations signature.
  • Other duties as required in support of the department and/or unit.

Required Education

  • Four-Year Bachelor Degree or equivalent.

Required Experience

  • More than 3 years and up to and including 5 years of experience.
    • Knowledge of relationship building, fundraising and stewardship considered an asset.
    • Previous experience building relationships with donors considered an asset.
    • Experience in planning and/or managing projects considered an asset.
    • Experience in client and/or customer experience functions considered an asset.
    • Experience in writing, interviewing, reviewing, editing and/or proofreading internal and/or external communications and documents considered an asset (e.g., social media, policy manuals, newsletters, handbooks, legal documents, forms/templates, blogs, training/reference materials, technical documents, webinars, etc.).
    • Experience with providing administrative support considered an asset (e.g., document editing, proofing, formatting and production, data entry, scheduling/coordinating meetings and/or travel arrangements, receiving/relaying messages, etc.).
    • Experience working at a post-secondary education institution considered an asset.
    • Knowledge of relevant laws, regulations, policies, standards and/or guidelines considered an asset.
    • Experience planning, coordinating and/or managing events or promotions considered an asset.

Consideration may be given to an equivalent combination of education and experience.
