About the role

Role summary

Pinewood Toronto Studios (“PTS”) is looking for a new permanent full-time Head of Commercial and Client Relations (“HCCR”) to join our Client Relations team. Located minutes East of Toronto’s Downtown core, in the Studio District, PTS offers 16 purpose-built sound stages, including the industry-renowned Mega Stage.

The Head of Commercial and Client Relations (HCCR) is responsible for working closely with our production customers to ensure we deliver on their space and operational needs, ensuring that they have a great experience while optimising PTS’ commercial potential.

The role reports to the General Manager (GM) of PTS and collaborates closely with their PTS colleagues, including the Operations Manager, CFO, and Senior Facilities Manager. The role also works closely with the UK-based Pinewood Group (PWG) Global Sales Director.

The Head of Commercial and Client Relations, with support from the Commercial Coordinator, who reports to the role, is responsible for ensuring the Studios are booked to their maximum capacity at competitive rates. In addition, with support from the Client Relations team (3 Client Relations Coordinators who report to the role), the HCCR is responsible for the management of PTS’ various short and long term facility Licenses and Leases, and their associated tenants and productions (each and together, “Clients”). This includes providing operational advice, guidance and support to the studio unit/production/locations teams and Client Heads of Department as part of engendering an excellent Client experience at PTS. The role also oversees the set-up and reconfiguration of production spaces, coordinating and facilitating access for internal and contractors works, solving Client challenges and requests, communicating Client needs and information internally, and tracking local sales activity.

Working primarily from our site in Toronto’s Port Lands, the role holder will prioritise and triage these responsibilities, taking responsibility for, or delegating and tracking their completion, ensuring that the day-to-day activities are executed efficiently and effectively by their teams. The individual will focus the majority of their time on building and maintaining strong working relationships with production and internal stakeholders, solving complex Client challenges, driving continuous improvement and seeking out and capitalising on commercial opportunities for sales.

Due to the nature of film and HETV production, the Head of Commercial and Client Relations may be required, from time to time, to support production Clients with out-of-hours operations, so a level of flexibility in working hours is required.

Please note this position is NOT production-related Principle accountabilities

  • Establish and maintain strong working relationships with Clients and 3rd Party stakeholders/managers, international production studios, local Line Producers and production office teams, to ensure we are the first choice for making content in Toronto. Source production leads and share availability with Clients to generate sales opportunities and maximize revenue. Of particular note, manage relationships with long-term Clients to ensure they get the most out of the studio and have a great experience.
  • Support all Clients’ wider operational requirements, developing solutions, coordinating and cascading these needs to the Client Relations, Operations and Facilities teams as needed. The role will take ownership of the communication of studio policies, procedures and applicable operations/activities to the Clients.
  • Lead and provide direction to the Client Relations Coordinators and Commercial Coordinator in their operational and commercial support of Clients.
  • Lead the Client Relations team on onboarding and exiting of Clients, ensuring that early engagement with incoming Clients is undertaken in a manner that delivers an outstanding experience, and that they are suitably briefed on site operating procedures, rules and regulations, and main contact points.
  • Through the Operations Manager and Facilities Coordinator, ensure that facilities are setup for their needs prior to their arrival at the Studio and that the furniture stock is tracked and managed, including lifecycle replacement and the development of Studio standards.
  • Lead and provide direction to the Commercial Coordinator in their spaces planning and sales support for Clients.
  • Oversee the production and internal circulation of tracking reports and commercial budgeting for resale/3rd party sales. Prepare annual budgets including revenue, marketing, and studio services.
  • Lead the marketing and booking of available production facilities (non-demised spaces, resale production spaces, support spaces) to local line producer community, including outreach sales activity.
  • Maintain clear visibility on future availability and forward plan actions to create a pipeline of leads.
  • Collaborate closely with the Global Sales Director to ensure there is a clear shared plan on availability, leads, sales strategy and outreach actions.
  • Lead and provide direction to the Operations and Facilities teams in their administration of the asset alterations process, financial tracking and administration of studio communications to Clients, and operational reporting.
  • Collaborate with appropriate teams at other PWG studios to share learnings, best practices, and Client intelligence and to instigate ongoing improvements, all in order to ensure continuity of experience and service across PWG.
  • Oversee the quoting and contracting of new Clients. Work closely with PTS GM/Legal to negotiate commercial terms for incoming and existing Clients, drive the closing process and mediate where appropriate between Clients and GM/Legal. Facilitate preparation and completion of documentation.
  • Collaborate with PWG marketing, branding and communications to recommend, coordinate and oversee execution of marketing plan with support from the Commercial Coordinator.
  • Prepare regular reporting for PWG Senior Leadership Team and PTS Board of Directors, and carry out ad-hoc analysis or market intelligence as required.

Skills And Experience

  • Previous commercial or operational experience in the film, television and media sectors, or other relevant operational environment.
  • Experience working with or for large budget film/TV productions in a studio environment.
  • Knowledge of commercial contracts.
  • Knowledge of production organisation, logistics and processes.
  • Knowledge of Incident Management.
  • Highly organised, strong leader and commercially aware.
  • Excellent communication skills and customer focused.
  • Sales skills.
  • Adept at dealing with demanding clients and challenging conversations.

Other information

  • Role location: Pinewood Toronto Studios.
  • The salary range for this role is $90,000 to $120,000, commensurate with experience, skills and relevant certification(s).
  • Discretionary annual bonus based on Company and individual performance.
