Job Summary**:**
The incumbent provides customer service, administrative and financial support, responding to inquiries and receiving and processing payments for a variety of services.
Duties and Responsibilities:
- Act as a front-line counter and telephone resource person for the general public. This may include:
- Receiving and routing a high volume of calls;
- Responding to requests for information;
- Directing customers to the appropriate department for assistance;
- Issuing licenses, permits and passes (animal licenses, parking permits, etc.);
- Issuing and providing assistance for a variety of municipal forms and applications (i.e. Home Owners, Senior’s Utility, Business License Renewals, etc.); and
- Providing information to voters related to elections, plebiscites and referenda.
- Process and reconcile payments for a wide range of services according to established internal controls in an accurate and timely manner. This may include:
- Receiving, verifying, coding, posting and reconciling daily cash receipts;
- Matching funds deposited to the general bank account statement;
- Checking transactions for accuracy;
- Posting Summary Conviction ticket data and preparing weekly tickets for court;
- Calculating appropriate fees to add on to conviction tickets;
- Maintaining miscellaneous general vouchers and cash receipt filing;
- Calculating, preparing and applying interest on delinquent accounts; and
- Recording U.S. exchange.
- Provide administrative support, including:
- Opening and distributing incoming mail and parcels;
- Providing outgoing mail services (i.e. stamps, courier, preparing mail, etc.);
- Distributing procurement documents (tenders, proposals);
- Preparing correspondence; and
- Maintaining filing and bring forward systems;
- Ensure all public entrances for City Hall, including the Gazebo, are opened and locked at the beginning and end of each work day. Ensure accessible lift is unoccupied during power interruptions; if occupied a manual rescue occurs.
- Act as Accounts Receivable Clerk 1 and 2 as assigned.
- Follow, so far as is reasonably practicable, established safety procedures and standards.
- Other related duties.

Job Requirements:
Working Conditions:
Majority of the work is performed under normal office conditions with exposure to a high volume of traffic and contact with irate and sometimes intoxicated customers.
Required Knowledge, Skill and Abilities:
- 1 year post-secondary Business Administration or Accounting certificate.
- 2 years previous related experience and 6 months on the job training.
- Standard First Aid with CPR Level C certificate.
- Proven skills working with computerized financial systems software.
- Ability to work and maintain accuracy under pressure, attention to details and meet critical deadlines.
- Ability to work independently in a fast paced environment with little supervision.
- Strong client service orientation and good interpersonal skills.
- Good organizational and multi-tasking skills.
An equivalent combination of education, training and experience may be considered.
Examples of Equipment to Operate:
General office equipment with the ability to operate ERP software programs, spreadsheets, electronic mail, word processing, etc.
