The WAHA Redevelopment Project is a $1.8B transformative initiative in Northern Ontario aimed at strengthening healthcare for communities through the delivery of a state-of-the-art hospital and healthcare facility. The project consists of four buildings: a Hospital, Long-Term Care Facility, and Staff & Patient Accommodations. Due to the remote location of the project, efficient air travel coordination is critical to ensuring the safe, timely, and seamless movement of project personnel.
Reporting to the Travel Manager, you will play a key role in ensuring smooth and reliable air travel for project personnel by managing all aspects of charter flight logistics in support of a large-scale, remote construction site.
What you will do

Coordinate and process charter flight booking requests for project personnel traveling to and from the remote site

Work closely with the Travel Manager to support flight scheduling, optimize capacity, and maximize utilization of the charter service

Maintain accurate flight manifests, passenger lists, seating assignments, and travel documentation

Monitor flight schedules and proactively communicate any changes, delays, or cancellations to travelers, trade partners, and internal stakeholders

Act as the primary point of contact for trade partners regarding charter flight bookings for their workforce

Liaise directly with the charter airline to manage reservations, address issues, and communicate special travel requirements

Provide timely and clear travel instructions, confirmations, and support to travelers

Assist travelers during disruptions and help resolve travel-related challenges in a calm and professional manner

Generate reports on passenger volumes, flight utilization, and travel metrics to support continuous improvement

Ensure compliance with project travel policies and procedures

Support additional travel-related initiatives and other duties as assigned by the Travel Manager
This role could be for you if you have
- A high school diploma or equivalent (post-secondary education in logistics, travel, or administration is an asset)
- A minimum of 3 years of experience in travel coordination, airline reservations, or a related field
- Strong organizational and time-management skills with exceptional attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience using airline reservation systems or travel booking platforms
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and the ability to remain calm under pressure
- Ability to work both independently and collaboratively within a team
- Experience coordinating charter flights or supporting remote or large-scale construction projects is considered an asset
