Commercial Spares Administrator (Calgary)

MAIN TASKS AND RESPONSIBILITIES
An integral part of the Canadian Supply Center, the Commercial Spares Administrator executes logistics procurement activities within the Commercial Order Department to ensure on-time delivery per customer needs. The Commercial Administrator is a member of a team working directly to serve customers with a high level of energy and sensitivity to their needs. The incumbent will advocate data-baseddecisions and the highest standards of shipment quality. This individual will liaise directly with assigned customers, providing them with reports designed to provide an accurate view of their account status, undertake employee training, and will take the lead in improving operational processes as required.
SPECIFIC DUTIES
- Manage customer inquiries within the Account Management department, providing requested information back to the customer in a timely manner.
- Coordinate and review preparation and production of proforma invoices and quotes for customers pertaining to Bell and aftermarket parts (AA).
- Sourcing of non-Bell spares and follow-up with vendors/suppliers on shipments of non-Bell orders from qualified suppliers.
- Liaise with BHTI on spare shipments and other operational functions as and when required with primary focus on backorder management.
- Liaise with IT helpdesk/BHTI support staff in rectifying breakdowns of SAP system and other required infrastructure as necessary.
- Ensure an efficient filing system and oversee regular yearly purging of sales files on Supply Centre server and personal workstations.
- Focus on managing backorders with BHTI to include securing delivery dates, manual allocations, and nightly shipments in support of Supply Centre requirements.
- Coordinate large customer projects, vacation, etc. with other staff to maintain high level of efficiency within the department.
- Coordinate with warehouse supervisor and support staff on spares shipments, inventory and cycle count matters.
- Liaise with Finance Dept. on accounting related functions concerning customer accounts
- Interact with local and overseas vendors & Supply Centers in sourcing and purchase of Bell and Non-Bell spares
- Participates in after-hours AOG on-call coverage requirements (Scheduled rotation).
Qualifications
REQUIREMENTS
- Hold a High School Diploma, or certificate of Technical Studies, or degree in supply chain.
- Minimum of 3 years of experience in a customer service organization, preferably aviation.
- Good working knowledge of ERP systems and SAP experience would be an asset.
- Good working knowledge in Microsoft Excel, Power Point, Word, Outlook.
- Experience in material planning and execution.
- Dedicated customer service focus and cooperation while promoting the success of the team.
- Functional knowledge of Supply Centre operations
- Good communication, organizational and interpersonal skills
