About the role

The Haskayne School of Business is currently seeking a Full-time Limited Term Global Engagement Advisor for approximately 24 months.

The Haskayne School of Business recognizes the importance of global engagement and supports students participating in opportunities such as international education and exchanges. The Advisor, Global Engagement plays an important role in supporting undergraduate and graduate students throughout their international exchange journey. This position works as part of a team responsible for advising incoming and outgoing exchange students, coordinating with global partner institutions, and ensuring a smooth and enriching international learning experience. The role also supports strategic initiatives that promote international mobility, intercultural learning, and global engagement across the school.

This position is a member of the Haskayne Student Services team and reports to the Manager, Graduate Student Services, with significant accountability to the Manager, Undergraduate Student Services.

The school currently has 41 exchange partnerships with other business schools and on average has up to 200 incoming and outgoing students enrolled in international exchanges per year. In addition, assistance is provided to outgoing business students pursuing exchange experiences offered through Global Learning on campus.

Stressors in the role range from moderate to high, requiring excellent time management and composure under pressure. Peak periods with overlapping deadlines occur. The ability to set and meet multiple priorities while handling frequent interruptions is necessary. The position requires a high degree of diplomacy, excellent communication skills and constructive collaboration with a variety of stakeholders. The incumbent works independently and with a variety of teams to ensure a successful exchange experience for all incoming and outgoing students.

Due to operational requirements, the role is predominantly on-campus. Primary working hours are Monday to Friday, 8:30 A.M. to 4:30 P.M. (35 hours per week); however, flexibility is essential, including some evening and weekend hours. This position is a member of the AUPE Collective Bargaining Unit.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Act as a first point of contact for international exchange programming and general inquiries
  • Communicate with incoming and outgoing students and answer inquires promptly and professionally
  • Provide one-on-one advising and group information sessions for undergraduate and graduate students interested in participating in international exchange programs
  • Guide students through the full exchange lifecycle: application, partner selection, nomination, funding, pre-departure, during exchange, and re-entry
  • Support incoming/outgoing exchange students with onboarding, course registration and orientation
  • Connect incoming/outgoing exchange students with relevant resources (e.g. housing information, wellness supports, exchange student portal)
  • Share partner information, deadlines, and regulations with prospective exchange students
  • Maintain positive relationships with partner schools and respond to inquires about our exchange opportunities and educational system
  • Collaborative with the central University of Calgary International (UCI) office to ensure policy and procedure alignment, and consistent messaging
  • Stay current on international travel advisories, visa regulations, and institutional policies affecting outbound and inbound mobility
  • Coordinate risk management protocols, including pre-departure orientations, safety briefings, required forms, travel registration, etc.
  • Support student response in the case of international incidents or disruptions
  • Advise on course credit transfer, academic planning, travel preparation, and cross-cultural adjustment
  • Frequently monitor and report on progress of students; proactively work with students to ensure exchange program requirements are met
  • Assist in the maintenance of partner and course credit databases to track global engagement and course equivalencies
  • Review transcript information and prepare material for course evaluations by the teaching areas
  • Contribute to team planning to enhance services and support for students participating in global engagement
  • Perform additional duties as required to support the Student Services team and the Haskayne School of Business goals

Qualifications / Requirements:

  • Undergraduate degree in Communications, Arts, Education, Social Work or Business. Graduate level education considered an asset
  • Minimum of 2 years of program administration and student advising experience, or a combination thereof, within a post-secondary institution.; or an equivalent combination of education and experience
  • Demonstrated experience with communication, negotiation, program and student advocacy, teamwork, customer service, and sound judgement is required
  • Experience in international student advising, education abroad, or personal or professional international experience is preferred
  • Intercultural competence working with diverse populations required; fluency in two or more languages an asset
  • Knowledge of university student affairs policies and procedures
  • Strong knowledge of the school's undergraduate and graduate programs
  • Proven intermediate skills in Microsoft Office Suite
  • Experience with student information management systems: PeopleSoft Student Administration, D2L, Qualtrics, Orbis Outcome
  • Strong interpersonal skills for student-centric advising (listening, conflict resolution, diplomacy, patience, empathy), with ability to make firm decisions
  • Excellent organization, time management, analytical and problem skills are required. Must have ability to manage multiple complex tasks under pressure with accuracy
  • Ability to work in a fast-paced, high interruption environment while remaining calm under stress
  • A positive and professional attitude and the ability to productively work independently and collaboratively
  • Clear, confident communicator with strong listening and presentation skills; comfortable with group advising and recruitment
  • Open to learning, development, and new challenges
