We’re Hiring!

We are currently looking to fill a full-time, permanent position for a Receptionist/HR Administrator in our Human Resources Department at our Leamington ON Farms facility.

What You'll Do:

  • Reception
    • Welcome and assist guests, visitors, and vendors upon arrival, addressing inquiries or directing them to the appropriate department.
    • Screen and direct incoming phone calls, emails, and messages to the relevant person or department.
    • Manage all mail and package handling, including receiving, sorting, distributing, and preparing outgoing shipments for carriers such as UPS, FedEx, DHL, or Purolator.
    • Order and maintain office supplies, ensuring inventory is up to date and distributing as needed.
    • Perform various administrative duties, including filing, running errands, data entry, and handling outgoing packages.
  • Supervise the Janitorial team for the farm:
    • Approve/deny employee time off, expense reports and timecards within deadlines required to ensure smooth completion of payroll.
    • Manage employee time off/schedules to ensure full coverage of the departments.
    • Collaborate with HR Generalist/Manager for employee relations, incidents, disciplinary actions and terminations if necessary.
    • Manages the annual performance review process for the Janitorial team members.
    • Works closely with their team, ensures they receive the training and coaching required to succeed in the position.
    • Review daily/monthly Provision form responses ensuring any flagged areas are addressed and forms are completed correctly.
    • Complete monthly inspections of each location.
    • Inform relevant departments of any Health and Safety, Food Safety, Maintenance, and Biosecurity concerns.
  • HR Administration
    • Support Managers in holding employees accountable by overseeing Time Off and Absenteeism Letters.
    • Assist the HR Department with a wide range of administrative tasks, supporting their daily operations.
    • Handle HR record-keeping, ensuring compliance with legal and company standards, and managing both electronic and hard-copy files.
    • Assist with the Kudos program and support the Grow to People initiative, recognizing employee achievements and contributing to employee development and engagement.
    • Assist with company events, including the Annual Picnic, Christmas Party, and Employee Appreciation events etc.
    • Prepare and distribute employee gifts and apparel, such as baby and bereavement packages, including ordering supplies and coordinating embroidery.
    • Provide support to other departments as needed, assisting with various tasks to ensure smooth operations.
  • Must comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

What You Bring:

  • Certificate in Office Administration would be an asset.
  • Previous experience as a receptionist would be an asset.
  • Friendly professional demeanor with the ability to communicate with all visitors, vendors, and employees at all levels.
  • Multi-tasking, organization, and attention to detail are essential.
  • Must be able to effectively follow and give directions.
  • Working experience with Email and Microsoft 365.
  • A high degree of confidentiality and integrity regarding Company related matters.
  • Able to navigate the internet to locate and verify requested supplies.
  • Must be comfortable meeting deadlines and working at a fast pace.
  • Valid Ontario driver’s license and use of personal vehicle are required.

What To Expect:

  • Daily use of communication by email and phone.
  • Office setting- walking, sitting, and standing throughout the day.
  • Full time hours Monday-Friday 8AM-5PM. May be required to work after hours, holidays, and Saturdays as needed.
  • Local travel required from the various NFF locations, post office etc.
  • The day may consist of walking, bending, crouching, sitting and stretching throughout the day.
  • Must be able to complete all physical requirements with or without a reasonable accommodation.
